Job summary

YMCA of Greater Long Beach is seeking a part-time programs supervisor to oversee branch activities with support from the Executive Director. You will manage programs, cash handling, enrollments, and ensure accurate processing in program software such as DAXKO.

Main duties include staff hiring and training, member services, outreach, promoting programs, coordinating youth sports, and events. Qualifications include a college degree or equivalent, CPR/First Aid/AED, and two years in related fields.

  • Criminal clearance: Fingerprints and background clearance.
  • Health screening with negative TB test and negative drug test screening.
  • Complete all required online trainings.

Responsibilities

  • Oversee branch programs, cash handling and enrollments; ensure accurate processing of program software including DAXKO.
  • Track program usage, prepare daily/weekly/monthly reports; conduct satisfaction surveys.
  • Assist with member relations, sign-ups and financial assistance requests.
  • Assist with hiring, training, scheduling and supervision of staff; attend staff meetings.
  • Promote program awareness via publications, marketing materials and events.
  • Support fundraising and special events; liaise with fundraising team.
  • Follow and enforce safety standards; protect assets.
  • Attend all staff meetings and YMCA functions as required.
  • Maintain open communication with staff, parents and supervisor.
  • Perform other duties as assigned.
  • Coordinate youth sports program delivery, activities, and registration to ensure safety and engagement.

25 hours weekly / PT

Position Summary:

Responsible for supervising the activities of a program with the direct support of the Executive Director.

SPECIFIC DUTIES:

1. Manage Branch programs, cash management and receipting procedures, enrollments and registrations, receivables and payments. Monitor program usage, check-in and service procedures, cancellations and changes. Ensure the accurate processing and management of program software systems including DAXKO and others.

2. Track program usage, inquiries, tours, terminations, etc.; prepare daily, weekly and monthly reports and schedules; collect and distribute program evaluations; conduct quality checks and satisfaction surveys.

3. Assist with member relations and involvement, member services inquiries, complaints and concerns. Responsible for new program sign-ups, and program needs. Process financial assistance requests.

4. Assist with the hiring, training, scheduling and supervision of staff. Attend regular staff meetings and assist as needed. Ensure program requirements are enforced.

5. Assist with promoting program awareness through publications, marketing materials and member promotion programs. Participate in community/facility events.

6. Assist with fund raising and special event efforts; serve as a staff liaison for fundraising team. Provide staff leadership for branch special events.

7. Follow and enforce safety standards, policies and procedures. Ensure proper care and use of assets.

8. Attend all staff meetings, trainings and other YMCA functions as required by supervisor.

9. Maintain open lines of communication with staff, parents, and supervisor.

10. Perform other duties as assigned.

Additional Job Specific Duties:
  • Program coordination & Implementation: Coordinate and support the delivery of youth sports programs, including practices, games, clinics, and seasonal leagues, ensuring programs are organized, safe, engaging, and consistent with YWCA standards.
  • Participant and Family Engagement: Build positive relationships with youth participants, parents, and families by providing excellent customer service, communicating program information, addressing concerns, and creating a welcoming YMCA experience.
  • Coach and Volunteer Support: Assist with recruiting, onboarding, scheduling, and supporting volunteer coaches and program staff while ensuring they understand YMCA expectations, youth development principles, safety procedures, and sportsmanship standards.
  • Program Administration and Enrollment: Monitor program registrations, rosters, attendance, schedules, equipment needs, and participant records. Assist with outreach and promotional efforts to increase enrollment and strengthen participation in youth sports programs.
  • Safety, Sportsmanship and Youth Development: Maintain a safe and inclusive environment by enforcing YMCA policies, monitoring program activities, promoting positive sportsmanship, and ensuring programs emphasize skill development, teamwork, character development, and healthy competition.

QUALIFICATIONS:

1. College Degree and/or equivalent experience required.

2. CPR, First Aid and AED certification required.

WORKING CONDITIONS:
