About The Department

Department: BSD OFA - Administration

The University of Chicago’s Biological Sciences Division (BSD) is the largest unit of the University, established in 1930. It comprises faculty from clinical and basic sciences, delivering education, patient care, and research. The BSD Office of Faculty Affairs (OFA) supports faculty development through programs, workshops, and initiatives, including orientation, career development, well-being, leadership training, and awards.

Job Summary

The Program Coordinator will oversee administrative functions and daily operations of the OFA, supporting faculty programs and events, managing relationships, developing marketing materials, and assisting with projects and metrics analysis. Evening work may be required. Reports to the Associate Director and collaborates with faculty and staff.

Responsibilities
  1. Organize and execute daily administration and logistics for programs and events.
  2. Support faculty committees, facilitate meetings, track action items, and ensure effective communication.
  3. Build relationships with stakeholders and vendors.
  4. Develop marketing materials and promote initiatives.
  5. Maintain and update the OFA website.
  6. Manage office calendar, correspondence, supplies, and IT support.
  7. Collect and analyze program metrics for improvement.
  8. Learn new technologies and adapt to office needs.
  9. Administer services to program participants.
  10. Conduct quality assurance reviews and suggest improvements.
  11. Interact with faculty and staff for information and committee work.
  12. Perform other duties as needed.
Minimum Qualifications
  • College or university degree in a related field.
  • Less than 2 years of relevant work experience.
Preferred Qualifications
  • Bachelor's or Master's degree.
  • Experience in university administration, faculty affairs, or faculty development.
  • Experience working with faculty leaders and committees.
  • Skills in flyer creation, website management, and content development.
Preferred Competencies
  • Attention to detail and accuracy.
  • Excellent communication skills.
  • Proficiency in Microsoft Office, Google Workspace, Outlook, Zoom; familiarity with WordPress, Mailchimp, Canva.
  • Strong organizational skills and ability to prioritize.
  • Proactive problem-solving and escalation skills.
  • Experience with university systems and process improvement.
  • Ability to work independently and tactfully in a fast-paced environment.
