Job summary

Reel Works is seeking a Program Coordinator to manage day-to-day training and recruitment logistics for the MediaMKRS programs and to support participants from recruitment through completion. The role requires hybrid work with three days per week in the Brooklyn office, based in the New York City metropolitan area.

Reporting to the Career Development Program Manager, you will organize trainings, manage trainee documents, track attendance, support invoices, and assist with recruitment events

Qualifications

  • 2-3 years of experience coordinating programs, trainings, events, workforce development, education, or related operations; nonprofit or media experience is a plus
  • Experience supporting participants, students, job seekers, or people facing employment barriers, with a commitment to inclusive and equitable service
  • Strong administrative and project coordination skills, including managing schedules, logistics, documentation, deadlines, and competing priorities
  • Experience maintaining records and using databases or CRM systems; Salesforce experience preferred
  • Strong written and verbal communication skills across participants, applicants, students, and colleagues
  • Proficiency with Google Workspace, Zoom, Google Classroom, Salesforce, and other web-based data systems
  • Familiarity with film, television, or media career pathways, employers, unions, or training standards is preferred
  • Bachelor's degree in film, television, media, communications, or a related field, or an equivalent combination of training and experience

Responsibilities

  • Coordinate virtual and in-person trainings, including platform setup, venue preparation, materials, supplies, and event logistics
  • Manage trainee agreements, waivers, schedules, onboarding materials, and other participant or grant documentation
  • Serve as a primary trainee contact, providing timely, accessible information about schedules, locations, changes, and program expectations
  • Track attendance, completion, enrollment, and waitlists; follow up on absences and coordinate accessibility requests
  • Attend trainings and events as needed to support instructors, resolve logistical issues, and promote a positive participant experience
  • Maintain accurate program records in Salesforce, participant databases, trackers, and Google Drive
  • Support invoices, payment documentation, and budget tracking with the Accounting & Payroll Coordinator
  • Compile evaluation surveys and routine program and funder reports with the Program Manager
  • Coordinate recruitment schedules, registration, materials, and applicant communications with the Recruitment Coordinator and Program Manager
  • Schedule and support recruitment events, information sessions, interviews, and employer or partner presentations
  • Review applications, track applicant status, schedule interviews, and maintain recruitment records and metrics
  • Send acceptance, waitlist, and other applicant communications using approved templates and timelines
  • Update outreach materials, recruitment resources, and mailing lists; ensure program information is consistent across channels

THE OPPORTUNITY

Reel Works is hiring a Program Coordinator to manage day-to-day training and recruitment logistics and support participants from recruitment through completion for our MediaMKRS career development programs.

Reports To: Career Development Program Manager

Compensation: Full-time 40 hours per week; $55k - $61k + Benefits

Benefits: PTO, Medical, Dental, Vision & 401K Match

Location: This position requires candidates to be based in the New York City metropolitan area and work in a hybrid environment, with three (3) days per week in the Brooklyn office. In-person attendance is also required, as needed, at trainings, recruitment events, and program sites throughout New York City and New Jersey. Occasional evening and weekend work may be required. The physical office is located in Brooklyn, NY.

THE POSITION

Under the supervision of the Career Development Program Manager, the Program Coordinator will support the mission and vision of Reel Works by coordinating accessible, industry-aligned training that helps participants prepare for and pursue careers in media and entertainment. The Coordinator will serve as a key point of connection among participants, instructors, and program staff, ensuring that trainings are well organized and participants receive timely, consistent support. Through thoughtful program coordination, participant engagement, and recruitment support, this role will help strengthen pathways into the industry for emerging media professionals.

WHAT YOU’LL DO
Program Operations & Participant Support (60%)
