Job description

THE OPPORTUNITY

Program Coordinator will support operational logistics, program administration, student engagement, compliance processes, and communication efforts to ensure the safety, well being, and success of all program participants. This role plays a critical part in delivering Babson’s expanded pre‑collegiate summer offerings.

WHAT YOU WILL DO
  • Program Operations & Logistics:
    • Support daily logistics including check‑in/check‑out, attendance, scheduling, classroom coordination, meals, transportation, and activity set‑up.
    • Assist with residential and commuter program operations in coordination with Student Life, Residential Life, Public Safety, Health Services, Facilities, and other campus partners.
    • Monitor day‑to‑day program flow and troubleshoot operational challenges.
    • Provide on‑campus coverage during program sessions, including evenings and weekends, as scheduled.
  • Student Experience & Engagement:
    • Assist with supervising students during program hours, activities, and events, ensuring safety and appropriate behavior.
    • Support the planning and delivery of non‑academic enrichment activities in collaboration with Student Engagement and campus partners.
    • Serve as a visible, supportive presence for high school students and provide customer‑service‑centered communication to parents/guardians.
  • Compliance, Safety & Risk Management:
    • Support the Lead in ensuring all state and local regulations pertaining to minors are upheld.
    • Assist with collection and tracking of required forms, medical records, permissions, and documentation.
    • Monitor adherence to program policies and promptly raise student or safety concerns.
  • Staff, Faculty & Campus Partner Support:
    • Coordinate schedules, materials, space reservations, and communication for faculty and instructional teams.
    • Provide administrative and logistical support to student workers or paraprofessional staff as needed.
  • Administration & Communication:
    • Support registration processes, database management, and operational reporting.
    • Assist with drafting and distributing communications to parents/guardians, students, and internal partners.
    • Maintain updated program handbooks, schedules, and documentation.
    • Assist with budget tracking and purchasing needs.
  • Assumes additional responsibilities as required.
EDUCATION AND SKILLS
  • Bachelor’s degree or equivalent combination of education and experience.
  • At least 1‑3 years of related experience.
  • Strong organizational, time‑management, and multi‑tasking skills in a fast‑paced environment.
  • Demonstrated customer‑service orientation, especially when interacting with parents/guardians.
  • Ability to quickly learn new technology platforms, such as CVENT, Workday, and JIRA.
  • Excellent oral and written communication skills.
  • Ability to work collaboratively as part of a cross‑functional team.
  • Ability to exercise sound judgment and escalating issues appropriately.
  • Ability to envision and propose new methods that support ET&A; take thoughtful risks and accept new initiatives to achieve results.
  • Ability to anticipate and embrace change; be willing to acquire new skills and adapt to changing conditions.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook/calendar) and Google Workspace.
  • Ability to work with ethnically, culturally, and socially diverse students, staff, faculty, and other constituencies.
ADDITIONAL SKILLS YOU MAY HAVE
  • Experience in youth programming, student affairs, K–12 or higher education, summer camps, or related settings.
  • Experience with summer program registration systems or operational reporting.
  • Familiarity with laws and regulations pertaining to minors in residential or youth program environments.
  • Experience with workflow or project management tools.
  • Multilingual skills.
HOW AND WHERE YOU WILL WORK

This role is a full‑time temporary position working approximately 35 hours per week through August2026. The Coordinator must be on campus during all program sessions, including some evening and weekend hours. Campus housing may be available during program sessions, subject to monthly tax considerations as a taxable benefit.

WAGE AND BENEFITS

Non‑exempt position with an hourly rate of $33.00. Includes paid sick leave where required by law; eligibility, accrual, and usage follow applicable state and local regulations.
