Job summary

RFCUNY Research Foundation of the City University of New York is seeking a Program Coordinator to provide administrative support within the Funding and Scope Management team in New York City.

You will report to the Senior Program Manager and coordinate purchasing, onboarding, vendor communications, and event logistics, helping to ensure confidential handling of sensitive information while supporting cost control and office operations.

Qualifications

  • Associate’s degree required; Bachelor’s degree preferred.
  • Minimum two years of administrative experience in a professional office environment.
  • Excellent communication and interpersonal skills.
  • Attention to detail.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams, etc.).
  • Ability to lift up to 35 lbs without assistance.

Responsibilities

  • Collect and process office supply and printing requests from workstreams and staff.
  • Monitor inventory levels and order supplies as needed.
  • Communicate with vendors regarding orders, pricing, and deliveries.
  • Maintain administrative records related to purchasing and printing orders.
  • Assist with cost control by monitoring supply and printing expenses.
  • Coordinate logistics for memberships, trainings, workshops, and/or events.
  • Assist the Contract Manager in obtaining and collecting consultant documents, track receipt and verify required documents are included, and maintain accurate logs of consultant document status.
  • Coordinate onboarding activities for newly hired employees; assist with account creation, ID, email access, and office equipment.
  • Collect working equipment from exiting staff.
  • Assist in office event planning.
  • Ensure confidentiality and security of sensitive information.
  • Provide support with special projects as needed.

Position Description – Program Coordinator, Budget & Scope Management

The Funding and Scope Management team is seeking a Program Coordinator to provide administrative support. Reports to the Senior Program Manager, the role collaborates with staff from other workstreams and the New York City Administration for Children’s Services (ACS) and serves as the primary contact for all administrative tasks.

Responsibilities

Location & Compensation

Office: 110 William Street, New York, NY 10038.
Pay Range: $55,000–$65,000 annually.
