Job summary

The Children's Advocacy Center of Northeastern Pennsylvania is seeking a Program Coordinator to support the Executive Director, coordinate intake, scheduling, and reporting, and work with law enforcement, prosecutors, medical providers, and therapists to ensure timely, child-centered services.

Qualifications

  • Bachelor's degree in Business Administration, Human Services, Criminal Justice, Healthcare Administration, Public Administration, or related field (or equivalent experience).
  • Three or more years of administrative, operations, healthcare, nonprofit, legal, or project coordination experience.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Advanced proficiency with Microsoft Office, particularly Excel, Word, Outlook, and Teams.
  • Ability to manage multiple priorities while maintaining exceptional attention to detail.
  • Ability to maintain confidentiality and exercise sound judgment.

Responsibilities

  • Provide executive-level administrative support to the Executive Director.
  • Manage calendars, meetings, correspondence, and special projects.
  • Prepare reports, presentations, meeting materials, and organizational documents.
  • Assist with Board and leadership meeting preparation.
  • Coordinate new case referrals and intake.
  • Schedule forensic interviews, medical appointments, therapy services, advocacy appointments, and multidisciplinary meetings.
  • Maintain communication with partner agencies throughout the investigative process.
  • Monitor case progression and ensure timely follow-up.
  • Coordinate communication among law enforcement, child welfare, medical providers, prosecutors, therapists, and victim advocates.
  • Prepare agendas and materials for daily operations meetings and case review meetings.
  • Present case updates and operational information during internal meetings.
  • Run operational, grant, and performance reports.
  • Conduct routine case file audits for completeness and compliance.
  • Coordinate billing documentation and reimbursement processes.
  • Monitor organizational deadlines and reporting requirements.
  • Assist with accreditation and quality improvement initiatives.
  • Develop and improve workflows and operational procedures.

About the Role

The Program Coordinator serves as the operational backbone of the organization, providing executive support to the Executive Director while coordinating case intake, scheduling, multidisciplinary team communication, reporting, billing, quality assurance, and daily program operations.

This position works closely with law enforcement, child welfare professionals, prosecutors, medical providers, therapists, victim advocates, forensic interviewers, and community partners to ensure children receive coordinated, timely services.

Primary Responsibilities
Executive & Administrative Support
