Program Associate, Alumni Belonging

Job description

The Program Associate provides operational, administrative, and programmatic support for the Alumni Belonging team and its portfolio of affinity group communities, shared interest groups, and community and belonging initiatives. The Associate supports the day‑to‑day operations of Alumni Belonging programs, including Affinity Groups, Shared Interest Groups, and matriculation campaigns. Program support responsibilities include maintaining and updating the online BrownConnect+ platform, assisting in the coordination of virtual and in‑person events, and contributing to the production of invitations, newsletters, and other external communications. A key focus of this role is budget administration. The Associate maintains and updates budget‑tracking documents, supports the annual reconciliation process for all affinity and shared‑interest group budgets, creates treasury summary statements, and submits funding requests and reimbursement requests in a timely manner. The Associate also supports data tracking and annual metrics reporting, including volunteer coding and event registration processes, administering constituent surveys, compiling data from multiple sources, and assisting staff in producing annual program reports that track progress against goals and identify opportunities for improvement and innovation. This position collaborates with colleagues across Alumni Relations, Advancement, and other University partners, and provides direct customer service to alumni, students, family members, and University colleagues. The Alumni Belonging Pillar builds and supports an ecosystem of communities based on affinity and shared interests that speak to the multiplicity and intersectionality of the alumni community’s lived experiences, interests, and needs. The team nurtures and grows a culture of belonging for alumni and their parents, family, and friends by promoting diversity and inclusion across all alumni engagement programming.

Education & Experience

Bachelor’s degree or equivalent combination of education and experience. Minimum of 2 years of experience in a related field such as alumni relations, fundraising, higher education, administrative support, volunteer management, and/or community building. Experience with event planning preferred.

Job Competencies
  • Excellent written and oral communication skills.
  • Excellent attention to detail and excellent organizational skills, interpersonal skills, and project and time management skills.
  • Expertise in Microsoft and Google platforms, especially Google Calendar and email, Google Docs, Microsoft Word, Excel, and PowerPoint Proficient with audio/visual and presentation platforms (Zoom, Microsoft Teams or WebEx, PowerPoint, etc.)
  • Excellent attention to detail and excellent organizational skills, interpersonal skills, and project and time management skills.
  • Familiarity with financial and operational systems and processes.
  • Proven ability to analyze data, research information, problem-solve, and coordinate projects.
  • Ability to manage multiple tasks and priorities in a fast‑paced, multi‑faceted work environment with emphasis on accuracy and deadline adherence.
  • Ability to effectively and efficiently multitask and prioritize workload.
  • Willingness and ability to support a diverse and inclusive campus community.
  • Ability to apply tact and maintain confidentiality.
  • Customer‑focused, customer service orientation.
  • Ability to work occasional nights and weekends as needed.
  • Willingness and ability to occasionally work a non‑traditional schedule as needed (i.e., weekend or evening events, etc.).
Preferred Qualifications
  • Experience using AI‑powered tools to support proposal writing, build presentations, and administrative workflows.
  • Comfort and facility with digital platforms and the ability to quickly learn new tools; prior experience with online community or event management platforms is a plus.
