Job description

Program Assistant – Residential Care Coordinator Support

The Program Assistant provides support to Residential Care Coordinator Supervisors and Residential Care Coordinators on each shift. Key responsibilities include coordinating shift coverage, providing daily operational oversight of the RCC Department, ensuring client safety and compliance with all facility policies, and maintaining order within the residential setting.

Projected Schedule: 40 hours per week – Friday and Saturday: 10am–1pm; Sunday and Monday: 3pm–1am; other shifts as required.

Responsibilities
  • Assist with monthly RCC meetings and attend all Staff Meetings.
  • Report concerning or atypical circumstances to the Program Manager immediately.
  • Participate in after‑hours on‑call emergency response as assigned.
  • Monitor supply procurement, maintain inventory, and purchase facility supplies in line with Cherry Health standards.
  • Oversee compliance with residential facility policies related to security and living arrangements.
  • Conduct random searches of rooms, facilities, and vehicles.
  • Assist with audit preparations, corrective action tasks, and follow‑through.
  • Provide narrative and statistical reporting.
  • Help develop program rules, regulations, and procedures.
  • Provide on‑call emergency response and cover shifts when needed.
  • Partner with Human Resources to oversee admission, orientation, supervision, and discharge of program residents, including adding new admissions.
  • Maintain records per Cherry Health and FBOP requirements (e.g., alcohol/drug testing logs, sign‑in/sign‑out logs, fire drill logs, incident reports, medication logs).
  • Remain responsive to the needs of the resident population.
  • Coordinate urine drops for Residential Care Coordinators, prepare billing, order test cups, and breathalyzer tubes.
  • Coordinate fingerprinting of staff, new hires, and resident admittances.
  • Develop and maintain effective working relationships with CTC staff and administration.
  • Perform other tasks as assigned by Supervisor.
Qualifications
  • Valid Michigan driver’s license and reliable transportation.
  • Knowledge of federal criminal justice systems and community correctional programming.
  • Excellent verbal, written, and interpersonal communication skills.
  • Ability to work independently with minimal supervision.
  • Strong technology skills, including Microsoft Office Suite.
  • Good judgment in evaluating situations and decisions.
  • Ability to maintain confidential information for agency and residents.
  • Knowledge of re‑entry program services, resident needs, and management techniques.
  • Familiarity with substance‑use treatment theories and current techniques.

Education / Licenses / Certificates
  • Bachelor’s degree in human services or related field preferred, or equivalent combination of education and experience.
  • CPR certification required.
Experience
  • Direct care experience required.
  • Experience in mental health, substance abuse, or correctional residential programs strongly preferred or an equivalent combination of education and experience sufficient to perform duties.
Physical Requirements

Possible exposure to patients/clients with illnesses or infections; frequent telephone and computer use; standing, walking, or sitting for extended periods; tasks requiring manual dexterity; ability to bend, squat or kneel; lift up to 50lb; use of personal protective equipment as required.
