Job summary

Henry Street Settlement is seeking a Program Assistant to support the day-to-day operations of the after-school program in the Education & Employment Services division. You will aid staff, help run activities, and ensure quality delivery for youth and families.

The role emphasizes collaboration, schedule management, and accurate recordkeeping across school and community sites in a fast-paced environment.

Responsibilities

  • Assist with planning and delivery of educational and recreational activities and events.
  • Schedule and record activities including attendance and logs.
  • Engage with parents and coordinate with school/admin staff.
  • Maintain accurate program records and documentation.
  • Ensure DOH compliance and funder requirements for records.
  • Manage program supplies and purchasing; support across sites.
  • Participate in program-wide activities and staff meetings.
  • Track attendance and behavior, input data accurately.
  • Collaborate with staff at other Henry Street Settlement sites.

Program Overview:

Education and Employment Services is a $15.5 million dollar division serving over 9000 people each year through a continuum of services from Early Childhood Education through Adult Workforce programs designed to assist individuals in obtaining the skills necessary for lifetime self-sufficiency. Education Services include Early Childhood Education, After School & Camp Services Programs, Athletics, Community Schools, Expanded Horizons College Success Program, and our Youth Opportunity Hub. Education programming takes place within 2 community center sites and multiple school-based programs.

Position Summary:

The Program Assistant reports to the Program Coordinator and is responsible for supporting the day-to-day operations of the after-school program, ensuring high-quality program delivery, effective team coordination, and continuous quality improvement. This role assists with staff support and development, program implementation, and evaluation while providing ongoing support to a growing team of Activity Specialists. The Program Assistant works collaboratively with fellow Program Assistants and the management team to create a positive, engaging environment for youth and contribute to the overall success of the program. This is an excellent opportunity for an individual with youth development experience to further develop their leadership and program management skills. The work schedule may include up to 13 holiday camp days, during which program hours are between 8:00 a.m. to 6:00 p.m.

Responsibilities
  • Assist with the planning and delivery of educational and recreational activities and special events.
  • Schedule and record educational and recreational activities.
  • Conduct outreach to parents and serve as liaison with school administration and community.
  • Maintain accurate program records including contact logs, weekly schedules, attendance reports, correspondence, meeting minutes, and agendas.
  • Maintain Department of Health & funder compliance such as student and staff files, DOH binders and bulletin boards, etc.
  • Manage and maintain program supplies, office spaces, inventory, and purchasing.
  • Actively participate in program-wide or division-wide activities.
  • Communicate with Program Coordinator about any schedule modifications, important behavioral or environmental issues.
  • Model appropriate communication with families, teachers, staff, and children.
  • Attend regular staff meetings and trainings.
  • Track attendance, performance, and behavior (positive and negative) through accurate recordkeeping and data entry/database management duties.
  • Organize special events as necessary.
  • Work with individual students on their daily program activities as time permits.
  • Collaborate with staff at other Henry Street Settlement sites as needed.
  • Other related duties as assigned by supervisor.
Essential Physical Job Functions
  • Ability to lift up to 10 lbs.
  • Ability to stand, stoop, or sit for long periods of time as needed.
Requirements
  • Demonstrates integrity, credibility, and a strong commitment to the mission and values of Henry Street Settlement.
  • High School Diploma or GED required, Associate/Bachelor’s degree in a related field preferred.
  • Minimum of four years' experience working in the afterschool, evening, or camp program settings.
  • Must be flexible to work in both school-based & community-based settings, if needed.
  • Knowledge of grade/age-appropriate skill development strategies for students Grades K-8.
  • Experience working with youth and families from diverse backgrounds.
  • Proficient in using DYCD Connect, CitySpan or other related attendance tracking systems.
  • Excellent verbal and written communication skills with exceptional attention to detail.
  • Experience working with families to facilitate overall participant success.
  • Ability to work with students from a variety of academic backgrounds and skill levels.
  • Strong organizational, multitasking, and follow-through skills.
  • Must be self-motivated.
  • Flexible and positive team-oriented attitude.
  • Must be able to work on select school holidays.
