Job summary

  • Provide information, direction, and assistance to faculty, staff, students, and alumni.
  • Manage timelines and priorities with limited supervision.
  • Prepare and monitor faculty contracts and department correspondence.
  • Order supplies for the department.
  • Balance and monitor departmental budget.
  • Record meeting minutes and distribute to attendees.
  • Generate standard and custom reports as needed.
  • Schedule meetings, classes, events, and field trips.

Program Assistant

Program Assistant Chatham University is seeking a detail-oriented Program Assistant to join the Arts, Design and Communications department. Under limited supervision, provide high level support in areas of communications, fiscal oversight, database development and management, report preparation, event planning, and logistics. This position is an integral part of the day-to-day operations of the Arts, Design & Communication department. The ideal candidate is enthusiastic, invested, and trustworthy with a preference for a fast paced and ever-evolving work culture.

Responsibilities
  • Provide quality information, direction, and assistance to faculty and staff as well as incoming, currently enrolled students, and alumni.
  • Manage timelines, priorities and multi-task while working independently or with limited supervision.
  • Prepare and monitor faculty contracts as well as other department correspondence as needed.
  • Order supplies for the department.
  • Monitor and regularly balance departmental budget.
  • Record meeting minutes and distribute to meeting attendees.
  • Generate standard and custom-request reports on a regular and as-needed basis.
  • Assist with scheduling meetings, classes, events, field trips, transportation, etc.
  • Facilitate mail distribution and collection.
  • Assist with Admissions activities such as planning a student visit to the department.
  • Compile aggregate data and format reports that are utilized for departmental reports.
  • Create and manage a database of students, courses, schedules, faculty and alumni.
  • Correspond with students in a professional and effective manner.
  • Post information to social media and manage social media sites.
  • Event planning, including communicating updated and timely information, budget, location negotiations, dining, and audiovisual equipment arrangements.
  • Disseminate electronic surveys and other data collection tools and compile results of course, program, and alumni surveys.
Qualifications
  • Minimum of Associate Degree, Bachelor’s Degree preferred.
  • Strong communication skills, written skills, and computer skills.
  • Strong organizational skills.
  • Proficient in Microsoft Office applications.
  • Proficiency in Adobe applications is preferred.
  • Ability to communicate task status and completion daily.
  • Ability to interact and work well with faculty, students, alumni, and colleagues.
  • Proven track record in administrative accuracy and quality monitoring.

Salary Range: $34,600-$39,350. 35-hour work week. Exact compensation based on candidate skills and experience.
