Job summary

Calvert County Government’s Office on Aging seeks a Program Assistant at Southern Pines Senior Center to support the Program Specialist in planning and delivering engaging programs for older adults. You will assist with class planning, day trips, and office tasks under supervision.

The role involves coordinating activities, preparing materials, and managing registrations while maintaining confidentiality and providing excellent customer service to seniors.

Qualifications

  • High School diploma or GED equivalent.
  • One year of planning activities for groups.
  • One year of office clerical experience or one year of food service experience.
  • ServSafe Food Certification may be required within first year of employment.

Responsibilities

  • Plan and organize classes and activities for seniors.
  • Research activities of interest to older adults.
  • Recruit instructors, speakers, and senior participants.
  • Prepare advertising fliers, posters, and news articles.
  • Prepare classroom for class or activity.
  • Assist with bi-monthly newsletter production and information gathering.
  • Write/edit copy and prepare layout with graphics.
  • Answer calls and provide information and referrals for senior programs.
  • Maintain confidentiality and manage senior information database.
  • Teach workshops and classes to seniors.
  • Perform clerical duties including duplicating materials and typing correspondence.
  • Collect fees for classes, activities, and lunches and ensure funds are delivered.
  • Attend staff meetings and assist in serving seniors lunches.
  • Check temperatures and proper storage, set up dining area, and manage meal logistics.

Job Description: Calvert County Government’s Community Resources Department is currently hiring a Program Assistant for the Office on Aging at Southern Pines Senior Center. In this role, you’ll support the Program Specialist in coordinating and delivering engaging programs and activities for older adults, including assisting with program planning and organizing day trips. Performs program and office responsibilities in the County's program for older adults. The work involves significant participation in planning and executing program activities and office clerical work. The work requires experience in planning activities for groups, office experience, and is performed under general supervision.

Essential Job Functions
  • Plans and organizes classes and activities: Brainstorms with Program Specialist.
  • Researches activities.
  • Recruits instructors, speakers, and senior participants.
  • Prepares advertising fliers, posters, and news articles.
  • Prepares classroom for class or activity.
  • Assists with the production of a bi-monthly newsletter on computer: Gathers information.
  • Writes/edits copy.
  • Prepares layout with graphics.
  • Answers phone calls providing information and referrals regarding senior programs and services and taking lunch reservations and cancellations.
  • Refers people to appropriate services for senior concerns.
  • Utilizes active listening skills and maintains confidentiality.
  • Maintains computer database with senior information and enters participation information for classes, activities, and lunches.
  • Teaches workshops and classes to seniors.
  • Performs general clerical duties including duplicating materials and typing correspondence.
  • Collects fees for classes, activities, and lunch donations.
  • Ensures funds are delivered to appropriate person.
  • Attends general staff and program staff meetings.
  • Assists in serving seniors lunches.
  • Checks temperatures, quantity, and ensures proper cold or hot storage.
  • Sets up food line and drink table, orders meals and kitchen supplies, distributes donation envelopes, counts money, sets up dining room as assigned.
Other Duties
  • Attends training workshops and classes.
  • Performs related work as required.
Knowledge, Skills, and Abilities

Knowledge of-- Modern office procedures and practices including operation of office appliances such as calculators and computers.

Ability to-- Perform program support and related work for senior citizens. Plan activities/events for senior citizens. Perform general office clerical work quickly and efficiently. Establish and maintain effective working relationships with others encountered in the work. Deal effectively with the public. Model professionalism and demonstrate high quality customer service.

Required Qualifications
  • Training and/or Education: High School diploma or GED equivalent.
  • Experience: One year of planning activities for groups and one year of office clerical experience or one year of food service experience (relative to tasks to be performed.)
  • Licenses or Certificates: None
  • Special Requirements: ServSafe Food Certification may be required within first year of employment.
  • Physical Demands: Requires strenuous physical effort to perform manual work involving, repeated bending, climbing, crouching, stooping, stretching, reaching or lifting objects up to 50 pounds. Operation of keyboard devices.
  • Unusual Demands: Work is subject to frequent interruptions.
  • FLSA Status: Nonexempt
  • Compensation Steps: Pay rate: $23.30 - $26.69 per hour; $42,406 - $48,576 annually Grade 715, full-time position, 35 hours per week
