Job summary

Mission Bit is seeking a Program Assistant of Tech Start and Alumni Initiatives in San Francisco. This hybrid, temporary, part-time role supports workshop planning, participant coordination, and alumni engagement, reporting to the Director of Programs.

The position starts at hire and runs through June 30, 2027, with in-person work at least twice a week. Responsibilities include coordinating workshops, onboarding Tech Start cohorts, managing communications and records, and supporting alumni

Responsibilities

  • Assist the Director of Programs in scheduling, coordinating, and executing workshops, events, and program activities.
  • Prepare program materials, including agendas, slide decks, and handouts, in advance of each session.
  • Draft and send routine communications such as participant reminders, surveys, and partner updates.
  • Track program materials and office inventory, and assist with supply prep and distribution.
  • Participate in and support Mission Bit activities and events as needed.
  • Coordinate participant recruitment, enrollment, and onboarding for each Tech Start cohort, including collecting forms and logistics.
  • Moderate virtual and in-person workshops and events, supporting setup and coordination with external partners.
  • Liaise with industry volunteers, panelists, and mentor matches to confirm availability and support participant experience.
  • Coordinate distribution of participant benefits (LinkedIn Premium and Vercel Premium) for each cohort.
  • Track and maintain participant records, including Individual Employment Plans, attendance, and surveys; enter data monthly.
  • Monitor cohort progress toward completion and placement targets; assist in collecting program metrics for grant reporting.

About Mission Bit

Mission Bit is a San Francisco-based nonprofit that equips youth with hands-on computer science and AI education that builds confidence, technical skills, and pathways to meaningful careers in technology. We serve public high school students who've historically had limited access to tech and tech careers through semester-long coding courses, self-paced learning, workshops, and more.

The role

The Program Assistant of Tech Start and Alumni Initiatives supports program coordination, participant case management, and community engagement. This role helps organize workshops and events, manage participant communications and records, connect young people with career-development resources, and engage alumni. This role reports directly to the Director of Programs.

We’re looking for someone who is highly organized, proactive, dependable, and a clear communicator. The ideal candidate is comfortable working with data, learning new tools, and supporting young people as they pursue education and careers in technology.

This is a hybrid, temporary, part-time role based in San Francisco, CA, starting from date of hire through June 30, 2027. In-person work is required at least two times a week, depending on the program schedule. In-person work will include travel to the office and around the Bay Area.

Schedule

  • 20 hours/week
  • Monday through Thursday, some Fridays, evenings, or weekends occasionally required
  • Typically 5-7 hour shifts, between the business hours of 9:00 AM - 7:00 PM
    • Hours may vary based on the semester and organizational needs. Flexibility to adjust the schedule as needed.

What you’ll be doing

Program Coordination

  • Assist the Director of Programs in scheduling, coordinating, and executing workshops, events, and program activities
  • Prepare program materials, including agendas, slide decks, and handouts, in advance of each session
  • Draft and send routine communications such as participant reminders, surveys, and partner updates
  • Track program materials and office inventory, and assist with supply prep and distribution
  • Participate in and support Mission Bit activities and events as needed

Tech Start Program Support

  • Coordinate participant recruitment, enrollment, and onboarding for each Tech Start cohort, including collecting forms, communicating logistics, and supporting orientation
  • Moderate virtual and in-person workshops and events, supporting smooth facilitation, day-of setup, troubleshooting, and coordination with external partners at Mission Bit HQ
  • Liaise with industry volunteers, panelists, and mentor matches to confirm availability, share logistics, and support a positive participant experience across all workshops
  • Coordinate distribution of participant benefits (e.g., LinkedIn Premium and Vercel Premium access) for each enrolled cohort
  • Track and maintain accurate participant records, including Individual Employment Plans, attendance, and survey responses, and enter data into required systems no later than the 10th of each month
  • Monitor cohort progress toward completion and placement targets, flag updates to the Director of Programs, and assist in collecting program metrics — including attendance trends and participant demographics — to support quarterly grant reporting and continuous improvement

Case Management

  • Conduct regular check-in calls with Tech Start participants to monitor their progress, address barriers, and ensure they remain on track toward program completion and placement goals
  • Maintain detailed case notes for each participant, documenting phone calls, key updates, and any follow-up actions taken
  • Flag participants who are at risk of dropping off to the Director of Programs and coordinate appropriate support or interventions
  • Track participant milestones and outcomes post-program, including placement in employment, education, or training, and document accordingly
  • Serve as a consistent point of contact for participants throughout their time in the program and during the alumni transition
  • Support participants and alumni in accessing career development resources, including internship and job opportunities, skill building, and ongoing career guidance
  • Work closely with the Programs team to build and maintain career partnerships

Alumni Initiatives

  • Maintain and grow the Mission Bit Alumni Network by identifying and curating events, opportunities, internships, and resources to share via the alumni newsletter and LinkedIn group
  • Draft and schedule regular alumni communications, including newsletters, event announcements, and engagement check-ins
  • Support coordination of the Student Ambassador Board, including scheduling meetings and maintaining follow-up communications
  • Assist in connecting alumni to Tech Start programming as mentors, panelists, or volunteers
