Job summary

  • Supports staff with client case preparation and related administrative tasks.
  • Maintains organized filing systems and accurate program records.

Job description

Catholic Charities is seeking a dedicated, organized, and compassionate Program Assistant to support our Center for Immigration & Citizenship Legal Assistance (CICLA). This position plays a vital role in ensuring the efficient daily operation of the program by providing administrative, programmatic, and logistical support while assisting clients, staff, and community partners.

Key Responsibilities and Duties
  • Answers phones, emails, and general inquiries from clients, staff, and community partners.
  • Schedules appointments, meetings, and program-related events.
  • Maintains calendars and program schedules to support efficient daily operations.
  • Prepares correspondence, reports, presentations, and other program documents.
  • Assists with program reporting and compliance requirements as requested.
  • Supports Center staff with client case preparation and related administrative tasks.
  • Obtains preliminary information from walk-in and phone clients and provides information and referrals to community resources as needed.
  • Maintains organized filing systems and accurate program records.
  • Tracks, monitors, prioritizes, and follows up on multiple assignments, projects, and deadlines.
  • Maintains confidentiality of client, program, and agency information.
  • Responds appropriately and respectfully to the cultural differences present among the Agency's service population.
  • Incorporates and demonstrates the mission, vision, core values, and activities of Catholic Charities in a positive and professional manner with staff, clients, community partners, and the general public.
  • Performs other duties as assigned by the supervisor.
Qualifications Required
  • Experience: Minimum of three years of administrative experience required.
    • Proficiency with Microsoft Office Suite and database systems required.
    • Strong oral and written communication skills.
    • Ability to communicate and work effectively with diverse clients, staff, and community partners.
    • Experience working with agencies serving vulnerable populations preferred.
    • Must be able to work independently with minimal supervision and effectively interact with the public.
    • Bilingual in English and Spanish required.
  • Education: High School Diploma or GED required. Associate degree in Business Administration, Human Services, Social Services, or a related field preferred, or an equivalent combination of education, training, and relevant experience.
  • Experience in nonprofit, immigration, legal services, or human services environments is preferred.

Must pass a state-enforced background check.
