About the Role
The Professional Services Operations Specialist supports the day-to-day operations of our Professional Services organization and helps ensure that our internal processes, systems, and recurring activities run smoothly and consistently.
This role is ideal for someone who is highly organized, detail-oriented, comfortable working with data and business systems, and proactive about following up and getting things done. You will work closely with Professional Services leadership and collaborate with teams including Finance, Customer Success, and Sales.
This role is based out of our Denver office. Planisware currently has a hybrid policy of working in the office four days per week, Monday through Thursday, with remote work allowed on Friday. This is subject to change as the company sees fit.
Key Responsibilities
- Process Compliance & Data Quality — Monitor adherence to internal processes and ensure information in our project management system, Salesforce, and document management system is accurate and up to date. Follow up with employees, resolve issues, and escal… when needed.
- Recurring Professional Services Operations — Support and coordinate recurring operational processes such as forecasting, invoicing, timecard compliance, and other regular business cycles. Prepare reports, track status, and identify outstanding issues.
- Onboarding, Training & Adoption — Coordinate the operational onboarding of new employees, provide introductory training on internal systems and processes, maintain training materials, and support ongoing user adoption.
- Process Documentation — Maintain clear and current documentation for internal processes, procedures, and standards, and communicate updates when processes change.
- Systems & Process Coordination — Work with Professional Services, Customer Success, Sales, Finance, and other teams as needed to ensure shared operational processes and systems—including our project management system, Salesforce, and document management tools—are used correctly and consistently.
- Operational Coordination — Support recurring internal meetings and activities, including scheduling, meeting logistics, reminders, materials, action tracking, and general operational follow-up.
Qualifications
- Strong organizational skills and attention to detail
- Comfortable working with business systems, data, reports, and spreadsheets
- Strong follow-through and ability to manage recurring deadlines and multiple priorities
- Clear written and verbal communication skills
- Comfortable following up with employees and coordinating across teams
- Proactive, reliable, and able to work independently within defined processes
- Experience in Professional Services, business operations, project coordination, or a similar environment preferred
- Experience with CRM, ERP, project management, or related business systems is a plus
