Job summary

Responsibilities

  • Provide administrative support to the Director of Professional Development.
  • Coordinate calendars, meetings, training sessions, and events.
  • Schedule instructor-led, virtual, and hybrid trainings with logistics.
  • Prepare training materials, packets, and certificates.
  • Maintain training records in the LMS and other databases.
  • Register employees for training and monitor completion.
  • Generate reports on training, compliance, and metrics.
  • Assist with onboarding logistics and travel arrangements.
  • Maintain inventory of training materials and supplies.
  • Support evaluation collection and continuous improvement initiatives.

Position: Professional Development Assistant

Classification: Non-Exempt (Hourly)

Reports to: Director, Professional Development

Position Description

The Professional Development Assistant provides comprehensive administrative and operational support to the Director of Professional Development and assists in the coordination of employee onboarding, training, leadership development, and professional learning initiatives across the organization. This position serves as the primary administrative resource for the department by coordinating schedules, maintaining training records, supporting learning technologies, preparing instructional materials, and ensuring the efficient delivery of employee development programs.

Working collaboratively with Human Resources, program leadership, and subject matter experts, the Professional Development Assistant helps create a positive and engaging learning experience that supports employee success and organizational excellence.

Primary Responsibilities
  • Provide comprehensive administrative support to the Director of Professional Development.
  • Coordinate calendars, meetings, training sessions, workshops, and departmental events.
  • Schedule instructor-led, virtual, and hybrid training programs, including room reservations, virtual meeting platforms, and participant registration.
  • Prepare training materials, presentations, participant packets, name badges, certificates, evaluations, and instructional resources.
  • Maintain accurate employee training records within the Learning Management System (LMS) and other organizational databases.
  • Register employees for required training and monitor course completion and certification requirements.
  • Generate reports related to employee training, compliance, attendance, continuing education, and professional development activities.
  • Assist with new employee orientation logistics and onboarding activities in collaboration with Human Resources and program leadership.
  • Coordinate travel arrangements, meeting logistics, catering, and training supplies as needed.
  • Maintain inventory of training materials, office supplies, technology equipment, and educational resources.
  • Monitor the Professional Development department email inbox and respond to routine inquiries regarding training schedules, registration, and learning opportunities.
  • Prepare correspondence, reports, agendas, meeting minutes, spreadsheets, and presentations for departmental initiatives.
  • Process purchase requests, invoices, expense reports, and other administrative documentation.
  • Assist with the planning and coordination of conferences, employee recognition events, leadership development activities, and special projects.
  • Support the collection and analysis of participant evaluations and training metrics to assist with continuous improvement initiatives.
  • Maintain confidential employee information in accordance with organizational policies and applicable regulations.
Required Qualifications
  • High School Diplomas or equivalent. Associate degree in Business Administration, Office Administration, Education, Human Resources, or a related field preferred.
  • Two (2) years progressively responsible administrative support experience in an administrative assistant or comparable role.
  • Experience coordinating meetings, events, or training activities.
Preferred Qualifications
  • Experience in nonprofit, education, healthcare, child welfare, or human services organizations.
  • Experience preparing reports and maintaining training or compliance records.

  • Knowledge of administrative and office management practices.
  • Strong organizational, planning, and project coordination skills.
  • Excellent verbal and written communication skills.
  • Strong customer service and interpersonal skills.
  • Ability to manage multiple priorities while meeting deadlines.
  • Excellent attention to detail and accuracy.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams).
  • Ability to learn and effectively utilize Learning Management Systems (e.g., Relias) and HR information systems.
  • Ability to troubleshoot basic technology issues related to virtual and classroom training.
  • Ability to work independently while maintaining strong collaborative relationships.
Work Conditions
  • Environment: Office-based
  • Range of Schedule: Mon – Fri, 8:00 a.m. to 5:00 p.m.
  • Travel: None
