Job description

The Cultural Affairs Department is recruiting for one full time Production Planner to work at the Johnson Symposium. This position is responsible for planning, coordinating, and implementing resources and services associated with activities held at Johnson Symposium Center (JSC). Coordinates maintenance of equipment and facility related to events. Participates in supervision of support staff, contract labor and vendors. Works a flexible schedule that requires some evenings and weekends.

  1. Plans, develops, schedules and implements the production resources and event services required for each JSC event within required time limits and to customer satisfaction
  2. Obtains event specifications, event riders, permits and documentation from clients, vendors, and other departments as required
  3. Advises producers, lighting and sound designers, on the technical specifications, costs and usage of production resources (stage lighting, sound, multi-media, rigging, costuming, set design, cinema and custom resources) required for the individual production, and supervises the implementations of approved technical designs
  4. Operates, monitors, and maintains facility equipment in accordance with manufacturer guidelines and industry standards
  5. Communicates in a professional, effective, and timely manner with facility users, clients, event staff, and vendors
  6. Utilizes room management system to book events and generate event agreements; coordinates invoicing, payment and deposits using established college procedures
  7. Operates, maintains and safeguards assets of the assigned facilities for Victoria College, including supervising the use and maintenance of production and event resources
  8. Assists in recruiting, training, assigning and supervision of volunteer or paid event staff
  9. Orients event producers to safety, appropriate city ordinances, fire code, technical characteristics and other areas of facility operations; facilitates the use of the facilities by producers and others engaged by or renting the facility
  10. Arranges for repairs and replacements of equipment and resources within budgetary constraints; implements preventive maintenance on equipment
  11. Designee responsible for the event facility and Victoria College interests unless specifically designated otherwise
  12. Monitors events to facilitate operations, respond to emergencies/problems, and proactively handles resource issues
  13. Assists with the preparation of production budgets and timelines; maintains inventory and orders specialized supplies.
  14. Makes recommendations to supervisor regarding capital purchases of facility equipment.
  15. Provides feedback and periodic reports for stakeholders
  16. Proposes ideas to improve services
  17. Ensures compliance and satisfaction of external and internal clients
  18. Communicates and fosters relationships with facility clients and patrons
  19. Operates personal computer to access e-mail, electronic calendars and other basic office support software
  20. Uses various software applications, such as word processing, spreadsheets, databases, and graphics software to enter, create, assemble, manipulate and/or format data and/or reports
  21. Full-time position with hours that may vary day/night depending on events
  1. Understands that Cultural Affairs hours of operations differ from Victoria College’s main campus and academic calendar; and complies with event facility hours of operations as driven by client need and event schedules
  1. Serves as back-up for Production Services Planner—LJWCPA
  2. Receives requests for campus usage and refers to the appropriate venue manager; for areas without a venue manager, coordinates booking, agreements, billing, resources, and usage implementation.
  3. Assists with production resource implementation at additional Cultural Affairs and Victoria College activities, both on- and off-campus
  4. Performs related work as assigned
  5. Other duties as assigned by supervisor.
  1. Bachelor’s degree required (or 5 years of relevant experience in lieu of degree)
  2. Two or more years of demonstrated experience working in production or technical operations in a performing arts venue, rental facility, or similar facility preferred
  3. Ability to gain a working knowledge of techniques, methods and procedures of theatre, dance, and music productions, cinema, and presentations including stage, set, sound and lighting design and implementation; stage management; computerized lighting systems; stage carpentry; event coordination.
  1. Demonstrated high level of initiative, persistence in completing assignments, and ability to manage multiple projects simultaneously.
  1. Ability to work a flexible schedule of day, night, weekend and holiday depending on events assigned
  2. Demonstrated expertise with office equipment including computer, scanner and fax; experience with computer software including Microsoft Office required
  3. Excellent customer service, written and oral communication skills; effective interpersonal and critical thinking skills; ability to exercise tact and discretion
  4. Must be able to read and understand safety information, policies and procedures
  5. Must be able to follow written and oral instructions
  6. Must be able to work without close supervision
  7. Must be willing to assist facility users and Victoria College personnel as appropriate
  8. Work collaboratively, communicate and foster relationships with clients, patrons, volunteers, vendors and paid staff
  9. Must have a valid Texas Driver’s License and reliable transportation

While performing the duties of this job, the employee is regularly required to use hands and fingers to handle controls, keypads, etc. Will be required to sit and reach with hands and arms as well as, sit, stand and walk. Will be required to push and pull as part of event set up. Must frequently lift and/or move up to 50 pounds while loading and maintaining event set up equipment. Must be able to perform physical tasks such as those listed above from an elevated position (ladder, lift, etc.). Specific vision abilities required include close vision, some color vision, and the ability to adjust focus from documents to computer screen. Hearing of light to moderate sound is required by this job. The noise level in the work environment is usually moderate.
