We’re looking for a detail-driven, production-savvy ProductionFinance Managerto oversee the operational finances of our experiential projects. This role acts as the backbone of each production, managing project cash flow, coordinating vendor payments, and ensuring accurate budget tracking from pre-pro through wrap. The ideal candidate is a sharp multitasker with experience in live experiential branded events, or agency production workflows—someone who thrives behind the scenes, keeping things running on time and on budget.This will be a part-time contract position for our long-range, high-budget work, with potential to expand into a bigger role.
Key Responsibilities
Build and maintain detailedcash flow forecastsfor each project, ensuring alignment with production schedules and payment timelines.
Own theaccounts payable process, tracking vendor invoices, submitting invoices for payment , and maintaining clear documentation.
Coordinate with vendorsthroughout the project lifecycle to ensure deliverables are on time and payments are managed—note: vendor selection and bidding is handled by the Executive Producer.
Partner closely with internal teams (Production, Project Management, Finance) to keepbudgets updated in real timeand flag any variances or risks.
Leadbudget reconciliationsperiodically and at wrap, preparing both internal summaries and client-facing reconciliation reports.
Provide ongoing operational support during production—including tracking staffing impacts, managing paperwork, and troubleshooting logistical issues.
Participate in internal and client-facing budget meetings, clearly communicating financial status and any operational needs.
5+ years experience in aline producer, production manager, or project operations role within experiential, commercial, or creative agency environments.
Deep understanding ofproduction timelines, vendor management, and budget tracking.
Strong command ofExcel or Google Sheets
Meticulous attention to detail, strong organizational skills, and a steady hand under pressure.
A collaborative team player who can anticipate needs, solve problems on the fly, and keep multiple projects moving smoothly.
Comfortable working remotely in a fast-paced, deadline-driven environment.
