Job summary

NEW INC, the New Museum's interdisciplinary program, seeks a Production Coordinator for its year‑round hybrid/HQ operations in New York. You will manage day‑to‑day production tasks, vendor coordination, and timelines, ensuring accurate documentation across Asana and event files.

The role supports public programs, meetings, and the annual DEMO festival. The ideal candidate has 2–4 years in production/event roles, strong organizational skills, and experience with virtual/hybrid events.

Qualifications

  • 2–4 years of production and event management experience in arts, design or tech contexts.
  • Strong organizational skills and accurate project documentation.
  • Experience using project systems (Asana or similar) for multiple stakeholders.
  • Ability to manage multiple timelines and deadlines concurrently.
  • Proven track record coordinating vendors and services (AV, catering, etc).
  • Experience with virtual and hybrid event production.

Responsibilities

  • Own day‑to‑day production coordination, timelines, documentation, and communications.
  • Coordinate year‑round hybrid programs, events, and the DEMO festival.
  • Manage event logistics from planning to completion, vendor coordination, and load‑ins.
  • Maintain timelines, budgets, runs of show, and vendor trackers.
  • Keep production materials accessible to the team and museum.
  • Serve as the primary contact for vendors, suppliers, and internal teams.
  • Provide status updates and raise risks early to avoid delays.
  • Coordinate digital materials (Zoom, Keynote/PowerPoint) with Marketing.
  • Develop a diverse vendor roster across media and equipment rentals.
  • Review NEW INC membership applications with the team.

About NEW INC

NEW INC is an interdisciplinary program of the New Museum that brings together

100 creative practitioners and entrepreneurs annually from a wide variety of fields across art, design, and technology, promoting an environment of collaboration. The initiative is considered a global model for a cultural incubator. Colleagues and alumni have hailed it as groundbreaking, transformative, and socially impactful. Critical to the success of NEW INC is its commitment to diversity, equity, and inclusion in both its member recruitment and program methodologies.

In March 2026, NEW INC moved into its own dedicated space within an expanded New Museum, designed by OMA / Shohei Shigematsu and Rem Koolhaas. This new home is located on the 5 th floor of the new building and has space for a media lab, a fabrication studio, coworking space, a private balcony space, and spaces for private meetings.

Role Summary

This is a full-time non-exempt position with regular working hours of 40 hours per week, Monday to Friday, 10:00 am - 6:00 pm. Flexibility to support evening and weekend work is expected during high-activity periods. This position is a union-represented position subject to terms of the Museum’s agreement with Local 2110, UAW, and is eligible for the New Museum’s employee benefits programs.

Responsibilities
  • Own the day-to-day coordination and execution of production assignments, ensuring timelines, task management systems, documentation, and communications remain current and accurate throughout the project lifecycle.
  • Coordinate production for NEW INC’s year-round hybrid program, including public programs, internal community events, meetings, workshares and skill shares, Track showcases or exhibitions, partner programs, and the annual DEMO festival.
  • Manage event logistics from planning through completion, including technical production, work requests, vendue and vendor coordination, load-ins and de-installs, materials and supply orders, catering, setup, and pack-down.
  • Maintain accurate and accessible production timelines and documentation, including Asana boards, timelines, budgets, runs of show, vendor trackers, event files, and letters of agreement.
  • Maintain production timelines, Asana boards, production documentation, runs of show, vendor trackers, and event files to ensure projects are current, transparent, and accessible to the broader team and Museum at all times.
  • Serve as the primary point of contact for production vendors, suppliers, venue representatives, and relevant Museum departments.
  • Provide regular project status updates, communicate potential delays as early as possible, and escalation risks before they impact production timelines or other team members or departments.
  • Coordinate event-related digital materials, including Zoom webinar setup, Keynote or PowerPoint assets, and other platforms, in collaboration with the Marketing and Communications Assistant.
  • Develop and maintain an inclusive and diverse roster of vendors for us to work with across photo/video, fabrication studios, audio, visual, and equipment rentals, etc
  • Review applications for membership with the rest of the NEW INC team. NEW INC’s open call happens annually, and all team members review applications.
Qualifications and Skills
Production
  • 2-4 years of production and event management experience (exhibition, performing arts, festival, art/design/tech fairs, panels, or symposiums).
  • Exceptional organizational skills with strong attention to detail and a commitment to maintaining accurate project documentation.
  • Experience maintaining project management systems (Asana or equivalent) for multiple stakeholders.
  • Ability to maintain and advance multiple production timelines and deadline-driven projects at the same time.
  • Demonstrated experience coordinating teams of vendors, including production labor, audiovisual or documentation providers, and food/beverage providers.
  • Experience with virtual and hybrid event production
  • Comfortable and confident in taking autonomous ownership over tasks within purview and are always anticipating the next move, striving to improve systems and processes at every turn.
Communication
  • Ability to convey and transmit information between leadership, colleagues, and external partners in a succinct and clear way.
  • Proven ability to identify risks early, communicate obstacles proactively, adjust project plans before deadlines are impacted.
  • Strong follow-through and accountability for completing work from initiation through execution.
  • Understanding of industry partnership structures, stakeholders, and relationship-building.
  • Ability to apply discussed measures of success and programming priorities to production management.
Technical Skills
  • Proficiency in Asana, Zoom, WordPress, Mailchimp, and Microsoft Suite, and OneDrive is essential
