The Opportunity:
The Production Coordinator will be responsible for the seamless execution of photo and video shoots. This position encompasses many responsibilities, from pre-production planning to on-set coordination and support. This person will be the primary point of contact for vendors, clients, and crew, ensuring efficient communication and problem-solving throughout the
production process. This role will contributes significantly to the overall success of projects through managing logistics and talent, optimizing resources, and supporting the Producer and Creative Teams.
What you will do at VeSync:
• Research and identify potential locations for upcoming photo and video shoots, presenting options to the production and creative teams.
• Book selected locations and serve as the primary point of contact throughout pre-production and on-set.
• Book cast and crew, including models, for various shoot types (GTM, retail, social media, and evergreen content). Provide wardrobe guidelines to talent, including hair and make-up requirements for shoot days.
• Serve as the primary point of contact for outside vendors, locations, cast and crew.
• Assist with Production related tasks in support of the crew and creative teams on set.
• Coordinate shooting schedules with creative teams and collaborate closely with Producers, Cinematographers and Creative Directors to ensure creative needs are met.
• Collaborate closely with the Producer and Director of Photography/Cinematographer to ensure pre-production needs are met including the efficient and smooth execution of shoots both in studio and on location.
• Create and distribute call sheets to creative teams, cast, and crew.
• Develop and maintain production kits for studio and location shoots.
• Ensure post shoot documentation is received, filed, and processed including receipts and invoices for budget reconciliation by Producer.
• Work with the Producer to facilitate equipment rentals where needed.
• Update and maintain Crew and talent lists with current information in relation to bookings.
• Collect all relevant documentation (waivers, contracts, etc.) from cast and crew in relation to shoots.
What you bring to the role:
• Bachelors degree or equivalent experience in a related field.
• Minimum of 3 years of experience as a Production Coordinator or similar role.
• Competent in email programs and Microsoft Office software.
• Strong attention to detail, proofreading, and logistics.
• Organized personality, able to accurately track progress and responses for multiple projects at a time.
• Great social skills with strong report, ability to diffuse problem situations, and strong team/collaborative skills.
• Ability to work in a face paced and deadline driven environment.
Location:This is an on-site, office-based role in Tustin, CA.
Salary: Starting at $28.90/hour
