Job summary

Girtz Industries, Inc. is seeking a detail-oriented administrative assistant to support Production on a regular basis. You will enter information, process orders, and maintain records to help ensure smooth daily operations.

This on-site, first-shift role requires good reading, writing, and basic math skills, with reliable attendance and the ability to collaborate with manufacturing staff to meet deadlines.

Qualifications

  • High school diploma or GED, or 1–3 months related experience.
  • Ability to read and comprehend simple instructions, memos.
  • Ability to write simple correspondence.
  • Ability to present information to customers and other employees.
  • Basic math and data entry skills.
  • Reliable, predictable attendance.

Responsibilities

  • Enter information into computer to prepare correspondence, statements, receipts, or other documents.
  • Process orders received by mail, email, fax, EDI, telephone, or personal contact with customer or company employee.
  • File and maintain customer purchase orders and revisions received.
  • Print and assemble job packets as required by Production.
  • Sort and file records.
  • Photocopy documents.
  • Contact carrier representative to arrange shipments.
  • Prepare or assist in preparation of items for shipment.
  • Maintain records of items shipped.
  • Perform other duties as assigned.

Job Purpose

Provides administrative support to Production.

Job Requirements
  • This job has no supervisory requirements.
  • High school diploma or general education degree (GED), or 1 – 3 months related experience and / or training, or the equivalent combination of education and experience.
  • Ability to read and comprehend simple instructions, short correspondence and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information to customers, clients and other employees of the organization in one-on-one and small group situations.
  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentage and to draw and interpret bar graphs.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Reliable and predictable attendance required.
Physical Demands and Work Environment
  • Will be regularly required to stand, walk, and sit; reach with hands and arms; climb or balance; talk or hear.
  • The employee must occasionally lift and / or move up to 50 pounds.
  • Specific vision abilities required by this job include close vision, ability to adjust focus and color vision.

  • Photocopies documents.
  • Contact carrier representative to make arrangements and to issue instructions for loading products.
  • Prepares, or assists in the preparation of, items for shipment by appropriately packaging these items.
  • Maintains records of items shipped.
  • Perform other duties as assigned.
