Job summary

Window World of Western Massachusetts is seeking a highly organized Product Ordering Specialist to manage custom orders for home improvement projects. You will review contracts, measurements and documentation before placing orders with manufacturers and vendors, ensuring accuracy of sizes, quantities and configurations.

In this role you will collaborate with Sales, Production and Installation teams, learn multiple ordering systems, and maintain precise project records in our systems.

Qualifications

  • High school diploma or equivalent.

  • Strong organizational and time-management skills.
  • Comfortable working with measurements, dimensions and detailed product specifications.
  • Strong computer skills with the ability to learn multiple web-based manufacturer ordering systems.
  • Ability to review detailed information and recognize inconsistencies or potential errors.
  • Ability to manage multiple orders and projects simultaneously while meeting deadlines.
  • Strong written and verbal communication skills.

Responsibilities

  • Review customer contracts, measurements and project documentation prior to ordering.
  • Accurately enter and submit custom product orders through manufacturer and vendor ordering systems.
  • Order windows, doors, siding, roofing, gutters, garage doors and other project-related products and materials.
  • Carefully verify sizes, quantities, colors, styles, configurations, glass options, hardware, accessories and all other product specifications before submitting an order.
  • Confirm that information contained in contracts, measurements and order documentation is complete and consistent.
  • Identify missing, conflicting or questionable information and resolve discrepancies before an order is placed.
  • Review manufacturer order acknowledgments and confirmations against the original order for accuracy.
  • Communicate with Sales, Production, Installation and other team members to resolve order questions or discrepancies.
  • Communicate with manufacturers and vendors regarding product specifications, orders, lead times, availability and order status.
  • Process approved order changes, reorders and replacement products when necessary.
  • Track outstanding orders and anticipated delivery dates.
  • Maintain accurate order information and project documentation within company systems.
  • Upload, organize and maintain product and project documents.
  • Proactively identify potential ordering issues or delays and communicate them to the appropriate team members.
  • Follow established company ordering procedures and manufacturer requirements.
  • Help ensure all necessary products and materials are available when projects are ready for installation.

Job Summary

The Product Ordering Specialist is responsible for accurately processing and managing product orders for our customers' home improvement projects.

All of our products are custom ordered specifically for each individual customer. Because of this, accuracy and attention to detail are essential to this position.

The Product Ordering Specialist will carefully review contracts, measurements and project documentation before placing orders and will verify all product specifications, options and quantities for accuracy. This position works closely with our Sales, Production and Installation teams as well as our manufacturers and vendors to ensure the correct products are ordered for each project.

The ideal candidate is highly organized, comfortable working with measurements and detailed information, tech savvy, and able to manage multiple projects and deadlines in a fast-paced environment.
