Matrix Global Speciality is seeking a Procurement Operations Specialist to support efficient purchasing of goods and services for business operations in New York. You will coordinate procurement activities, analyze supplier and spend data, and ensure purchases align with company policies, quality requirements, and delivery needs.

Qualifications

  • Bachelor’s degree in Supply Chain Management, Procurement, Business, Finance, Logistics, Operations, or a related field.
  • Experience in procurement, purchasing, sourcing, supply chain operations, vendor management, or a related role.
  • Strong understanding of purchasing processes, including requisitions, purchase orders, quotations, approvals, invoicing, and supplier communication.
  • Experience coordinating purchase orders, monitoring delivery schedules, and resolving order, invoice, or supplier issues.
  • Ability to research suppliers, compare quotations, evaluate pricing, and support sourcing decisions.
  • Knowledge of supplier-management principles, including supplier performance, quality, cost, delivery, risk, and compliance.
  • Ability to analyse procurement spend, pricing trends, lead times, savings opportunities, and purchasing performance.
  • Proficiency in Excel or spreadsheet tools; experience with dashboards, reporting tools, or data analysis is an advantage.
  • Familiarity with ERP or procurement systems such as SAP, Oracle, Coupa, Ariba, NetSuite, Microsoft Dynamics, or similar platforms.
  • Experience maintaining supplier records, procurement documentation, contracts, and purchasing data accurately.
  • Understanding of procurement policies, approval controls, ethical sourcing, contract compliance, and internal governance requirements.
  • Strong organisational skills with the ability to manage multiple purchase requests, deadlines, suppliers, and stakeholders.
  • Excellent communication, negotiation, problem-solving, and stakeholder-management skills.
  • Experience in manufacturing, retail, e-commerce, logistics, international sourcing, or category management is an advantage.

Responsibilities

  • Sourcing potential suppliers, comparing bids, tracking order status, resolving invoice or delivery issues, and maintaining accurate procurement documentation.
  • Coordinate purchase orders, monitor delivery schedules, and ensure compliance with company policies and supplier agreements.
  • Monitor spend, supplier performance, pricing, lead times, and compliance to identify savings opportunities and strengthen procurement processes.
  • Prepare reports and insights to support decision-making and cost optimization.
  • Collaborate with internal teams including Finance, Logistics, Legal, Operations, and Supply Chain to manage procurement activities.

Job description

The Procurement Operations Specialist / Purchasing Coordinator / Sourcing Analyst supports the efficient purchasing of goods and services needed for business operations. This role coordinates procurement activities, analyses supplier and spend data, and helps ensure purchases are completed accurately, cost-effectively, and in line with company policies, quality requirements, and delivery needs.

The position works closely with internal requestors, suppliers, Finance, Logistics, Legal, Operations, and Supply Chain teams to manage purchase requests, purchase orders, supplier records, quotations, contracts, and delivery updates. Responsibilities include sourcing potential suppliers, comparing bids, tracking order status, resolving invoice or delivery issues, and maintaining accurate procurement documentation.

The role also supports continuous improvement by monitoring spend, supplier performance, pricing, lead times, and compliance. It prepares reports and insights that help teams identify savings opportunities, improve supplier relationships, reduce purchasing risks, and strengthen procurement processes.
