Department: Finance: Procurement Department / Business Services

Reports to: Director of Procurement

Position Summary:
Assisting the Director of Procurement, the Procurement Analyst at Manhattan University plays a critical role in managing procurement activities to support the institution’s operational and academic objectives. This includes establishing vendor relationships, obtaining bids, assisting with RFPs, contract negotiations, and using systems like Unimarket E-Procurement and Banner. The analyst monitors purchases for compliance with budgets and policies, and provides training on procurement procedures and systems.

Key Responsibilities: Include evaluating vendor performance, analyzing procurement trends, managing expenditures, and ensuring compliance with policies, regulations, and standards. The role requires strong analytical, communication skills, attention to detail, and technological understanding.

Responsibilities:

  • Assist in developing procurement strategies aligned with college goals, ensuring cost-effective, timely acquisition of goods and services.
  • Maintain vendor relationships, facilitate RFPs, and ensure compliance with contracts.
  • Monitor departmental purchases for budget and procedural compliance.
  • Train staff on procurement policies and systems, including Unimarket.
  • Support departments in obtaining quotes and creating purchase orders.
  • Resolve issues related to order processing and delivery.
  • Maintain accurate data in Unimarket and Banner, including user profiles and vendor contacts.
  • Communicate updates and developments related to procurement to staff and administrators.
  • Collaborate with the Controller's Office on purchasing and financial procedures.
  • Generate and review monthly expenditure reports.
  • Continuously improve procurement processes leveraging technology and best practices.
  • Manage campus cell phone program, college vehicle fleet, EZ pass, driver registration, and DMV/Lens programs.
  • Perform other duties and special projects as assigned.

Qualifications:

  • Bachelor’s degree in Business Administration, Supply Chain Management, or related field preferred; some higher education coursework required.
  • At least 3 years of relevant experience preferred.
  • Procurement experience in educational or similar settings is desirable.
  • Understanding of procurement principles and practices.
  • Strong communication and interpersonal skills.
  • Knowledge of Microsoft Office, Banner, Unimarket, or similar systems preferred.
  • Analytical and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Ability to build positive relationships across various groups.
  • Detail-oriented with the ability to work efficiently under pressure.
