CU Boulder is seeking a Process Coordinator to support student records operations within the Registrar’s Office. You will triage and process records, manage batch processes, and coordinate changes across campus partners, ensuring data integrity from matriculation to conferral.

The role is a 3-year limited-term position with a hybrid work modality, including one day per week on campus. Candidates should have a Bachelor’s degree or equivalent experience and strong data handling skills.

Job Summary

The Office of The Registrar at CU Boulder invitesapplications for a Process Coordinator! There aretwo positions to be filled. This role is part of the Systems & Data Services team within the Office of the Registrar, a unit thatexists to provide student information system analysis, development,reporting, and support for the CUStudent Integrated Systems as it relates to records andregistration. Responsibility for triaging and processing recordsand registration requests submitted from campus partners, as wellas managing the automated scheduled processes, both of which ensurethe integrity of the student record from matriculation toconferral. The processing will be almost exclusively withinPeopleSoft Campus Solutions, but may include Hyland OnBase fordocument management, COGNOS for data reporting, and our degreeaudit system. This position must maintain confidentiality in allapplicable policies, rules, regulations, and laws, including Officeof the Registrar policies, University policies, and FamilyEducational Rights and Privacy Act (FERPA).

What Your Key Responsibilities Will Be
Student Record Operations Support and Triage
  • Analyzes complex student records and enrollment situations todetermine appropriate corrective actions in accordance withuniversity policies, academic rules, and establishedprocedures.
  • Evaluates discrepancies identified through audits, censusreporting, and system reviews to determine root causes andimplement appropriate resolutions.
  • Balances competing priorities and partner needs whencoordinating record corrections and enrollment-related changesacross campus partners.
  • Manages an array of student and administrative recordsadjustments in campus solutions including: plan sequence clean-up,waitlist purges, LAW bidding enrollment, LAW level adjustments,variable session drop date adjustments, advisor processing,academic standing, grading, dean’s list, I to F processing,graduated but enrolled processing, cumulative stats clean-up,student milestones, duplicate record resolution, un-merging ofmerged student records.
  • Manage review and assignment of registration holds.
  • Reviews census reports provided by Institutional Research andworks with partners around campus to reconcileinconsistencies.
  • Processes change requests for students in the Bachelors-Mastersaccelerated program (BAM).
  • Maintains accurate business process documentation.
  • Troubleshoots issues identified internally and/or reported byconstituents.
  • Ensures S&D Service Level Agreements are met.
Student Records Operations Process Management
  • Determines appropriate scheduling and sequencing of criticalCampus Solutions batch processes to ensure data integrity andoperational continuity; areas include matriculation, termactivation, waitlist processing, new student orientation, NationalStudent Clearinghouse reporting, registration relatedcommunications, records related Campus Solutions 3Cs, CU Boulder onCoursera enrollment processes, graduate candidacy milestones,grading processes, COF processes.
  • Evaluates run controls, job criteria, and process dependenciesto identify potential issues before production execution.
  • Exercises judgment when troubleshooting batch processingfailures, data discrepancies, and system errors, determining whenissues can be resolved independently and when escalation isrequired.
  • Makes recommendations for process improvements, documentationupdates, and operational efficiencies based on analysis oferurring issues and business needs.
  • Collaborates with technical and functional partners todetermine appropriate solutions for complex processing andsystems-related challenges.
  • Engages UIS Production Services to confirm accurateset-up.
  • Validates run controls and job criteria with SDS businessanalysts.
  • Maintains accurate business process documentation.
  • Ensures S&D Service Level Agreements are met.

What We Require

  • Experience in a university registrar’s office, or a universityenrollment management or student services office (e.g., financialaid, admissions, bursar).
