Job Summary:

We are seeking a highly motivated, energetic, and technically fascinated Operations Technology Specialist to join our global remote team. This pivotal, hands-on role is crucial for optimizing our various business workflows, initially with a focus on sales and marketing, but with the potential to grow firmwide, touching Marketing, Client Execution, and Operations. You will identify inefficiencies, leverage existing and new technology solutions to streamline operations, and support the effective use of our entire tech stack.

The ideal candidate will be a proactive problem-solver with a natural curiosity for technology and automation , eager to apply new tools to optimize workflows and connect systems for smoother operations. A strong aptitude for learning new software quickly, a meticulous eye for detail, and a passion for using technology to drive business success within a distributed team are essential. Prior deep programming expertise is not required , but a comfort with technology and a willingness to learn is paramount.

Key Responsibilities:

Workflow Analysis & Optimization: Lead the overhaul of various operational workflows and the underlying tech stack. Actively analyze existing processes to identify inefficiencies, recommend improvements, and implement scalable, tech-enabled solutions.

Technology & Tool Implementation: Evaluate, implement, and integrate diverse operational tools (e.g., CRM, marketing platforms, project management systems, data enrichment tools) to create a seamless, high-performance ecosystem.

Process Automation & Integration Support: Design and deploy robust integrations across different software using accessible automation platforms (like Zapier, Make) and potentially light scripting (e.g., Python, JavaScript/Node.js) for enhanced efficiency.

Performance & KPI Visibility: Build and maintain dashboards and reports that track key operational activities and performance indicators. Provide actionable insights to leadership to drive continuous optimization.

Data Integrity & Management: Ensure accuracy, cleanliness, and synchronization of data across platforms. Automate data validation and hygiene processes to support high-quality reporting and informed decision-making.

Technical Enablement & Support: Serve as the technical point person for our operational tech stack—handling configurations, troubleshooting, and creating documentation and training resources to support adoption across teams.

Problem Solving & Innovation: Proactively identify and resolve operational issues with scalable, tech-forward solutions. Apply strategic thinking and technical skill to align tools with business goals and improve overall efficiency.

Collaboration & Communication: Work cross-functionally with various teams (e.g., Sales, Marketing, Client Execution, Operations). Communicate clearly across technical and non-technical audiences to ensure solutions are well-aligned and well-executed.

AI Mindset: Demonstrate exposure to AI tools and their application in workflows, analytics, or automation, embracing AI's potential to transform our business operations.

Qualifications:
  • Bachelor's degree in Business, Computer Science, IT, Operations, or a related field.
  • 1-5 years of experience in a business operations, sales support, marketing operations, or similar position with a strong focus on software utilization and process improvement. Recent graduates with strong relevant project experience and a demonstrated tech fascination will be considered.
  • Exceptional technical aptitude and curiosity: A genuine interest in how technology works and a passion for finding new software solutions to improve processes.
  • Demonstrated ability to learn new software and master new tools quickly and independently.
  • Hands-on experience or strong familiarity with common business software (e.g., CRM systems like HubSpot/Salesforce, marketing automation tools, project management software).
  • Experience with or a strong interest in using no-code/low-code automation platforms like Zapier or Make (formerly Integromat) and comfort with light scripting to connect disparate systems.
  • Excellent analytical skills with the ability to identify process inefficiencies and suggest practical, tech-enabled solutions.
  • Meticulous attention to detail and a commitment to data accuracy.
  • Proactive, self-starter with the ability to work independently in a remote environment.
  • Strong communication skills (written and verbal English) to effectively collaborate with a global team and across different time zones.
