Job summary

City and County of Denver's Denver Human Services is seeking a Privacy and Records Associate to support the PIAD team. You will review data loss prevention, process records requests with redactions, and assist in mitigating breaches and ensuring compliance across privacy initiatives.

You’ll work with the Records Team to develop procedures, track retention, and provide training on AI privacy challenges and information sharing. A detail-oriented, confidential approach is essential.

Qualifications

  • Graduation from high school or GED.
  • 3 years of clerical experience including 2 years at Administrative Support Assistant III.
  • Education/Experience equivalency may substitute for the minimum requirements.

Responsibilities

  • Review data loss prevention program for breaches in emails, USBs, and AI programs.
  • Process records requests, including researching internal/state systems and applying redactions.
  • Assist in mitigating breaches of client data through investigations, reporting, and documentation.
  • Assist in Civil Rights issues through information gathering, evidence review, and drafting correspondence.
  • Review information sharing agreements and contracts for privacy language and BAA applicability.
  • CJIS training, logging, fingerprinting, and compliance review.
  • Develop training for AI and emerging privacy challenges.
  • Provide coverage for the two-person Privacy Team at satellite offices.
  • Develop program-specific training for various programs.
  • Collaborate with Records Team on work plans and procedures.

Location & Schedule

The City and County of Denver supports a hybrid workplace model. Employees work where needed, at a job site several days a week and off-site as needed. Employees must work within the state of Colorado on their off-site days.

The Performance Improvement and Accountability Division (PIAD) of Denver Human Services is seeking a flexible, adaptable, and detail-oriented individual to serve as a Privacy and Records Associate.

Specifically, as a Privacy and Records Associate you will:

  • Review data loss prevention program for breaches in emails, USB’s, and AI programs
  • Process records requests, to include researching internal and state systems, and apply appropriate redactions prior to release
  • Assist in mitigating breaches of client data through investigations, reporting, and documentation
  • Assist in Civil Rights issues (Language Access, Title I and II issues and complaints, and ADA accommodations) through collaborative information gathering, evidence review, documentation, and drafting correspondence
  • Review information sharing agreements and contracts for privacy language and BAA applicability
  • Criminal justice information systems (CJIS) training, logging, fingerprinting, and compliance review
  • Legal and statutory review for program compliance and information sharing
  • Serve as additional data steward for agency technology services requests
  • Develop training for Artificial Intelligence and other emerging privacy challenges
  • Develop program specific training for various federal, state, and locally administered programs
  • Provide coverage for the two-person Privacy Team at the satellite offices and during absences
  • Manage distribution lists and network drive permissions

This position will also work with the Records Team to:

  • Assist leadership with developing or modifying work plans, methods, and procedures, and work schedules to provide adequate staff coverage
  • Follow Federal, State, and City regulations regarding records retention and destruction
  • Collect and compile data for reports and analysis of operations
  • Resolve problems encountered during daily operations and determine appropriate solutions
  • Contribute performance feedback, and provide information to inform the formal performance evaluation
  • Innovate and implement lean strategies to improve efficiency and impact of the team
  • Perform other related duties as assigned

  • Capable of assisting with teamwork plans, workflows, and scheduling
  • Focus on enhancing efficiency and supporting smooth daily operations across records and privacy functions
  • Committed to maintaining optimal team performance and contributing to a positive, productive work environment
  • Knowledgeable in process improvement principles; Lean Six Sigma Green Belt or higher is preferred
Required Minimum Qualifications
  • Education requirement: Graduation from high school or the possession of a GED, HiSET or TASC Certificate
  • Experience Requirement: Three (3) years of clerical experience which must include two (2) years of experience at the level of Administrative Support Assistant III
  • Education/Experience Equivalency: Additional appropriate education may be substituted for the minimum experience requirements
