The ideal candidate is highly organized, proactive, and comfortable managing multiple cases, deadlines, and priorities. We are looking for someone who takes ownership of their responsibilities, communicates effectively, and anticipates next steps rather than waiting for direction.
Key Responsibilities

- Serve as a primary point of contact for clients, providing timely updates, responding to inquiries, and maintaining professional, compassionate communication.
- Draft and prepare legal correspondence, demand letters, administrative charges, authorizations, and other pre-litigation documents under attorney supervision.
- Track and monitor statutes of limitations, filing deadlines, case milestones, and follow-up activities.
- Coordinate with opposing counsel, administrative agencies, and other parties regarding case status, documentation, and scheduling.
- Assist attorneys with settlement negotiations, mediation preparation, and settlement documentation.
- Maintain accurate, organized, and up-to-date electronic case files within the firm's case management system.
- Proactively monitor case progress, identify outstanding tasks, and ensure timely follow-up to keep matters moving forward.
- Coordinate attorney calendars, scheduling, and communications as needed.
- Support new client intake and other administrative functions to ensure efficient team operations.
Qualifications
- Previous paralegal or legal assistant experience required; employment law or pre-litigation experience strongly preferred.
- Familiarity with employment-related administrative claims and agency procedures, including EEOC and OCRC matters, preferred.
- Strong organizational skills with the ability to manage multiple cases and competing deadlines.
- Excellent written and verbal communication skills, with a strong commitment to client service.
- Ability to draft professional correspondence and legal documents with accuracy and attention to detail.
- Proficiency with Microsoft Office and electronic case management systems; experience with Prevail is a plus.
- Strong critical-thinking, problem-solving, and follow-through skills.
- Ability to work independently while collaborating effectively with attorneys and team members.
- Demonstrated professionalism, discretion, and ability to handle confidential information.
