This is more than a traditional office manager role. We're looking for a leader who can drive operational excellence, coach and develop teams, improve workflows, solve problems before they become barriers, and create an outstanding patient and employee experience. The ideal candidate thinks like a business leader—balancing patient care, financial performance, quality, staffing, and growth while building a culture of accountability and continuous improvement.

What You'll Do
Operational Leadership
  • Lead the day-to-day operations of a busy primary care practice.
  • Ensure efficient patient flow, provider productivity, and operational consistency.
  • Monitor key performance indicators (KPIs) and implement action plans to improve performance.
  • Identify operational bottlenecks and implement sustainable process improvements.
  • Ensure clinic readiness, staffing, supplies, equipment, and workflows support high-quality patient care.
  • Drive accountability for operational excellence, patient satisfaction, and financial performance.
  • Recruit, interview, onboard, coach, and retain high-performing clinical and administrative staff.
  • Conduct regular performance reviews, coaching sessions, and development planning.
  • Foster a culture of accountability, teamwork, professionalism, and continuous improvement.
  • Mentor supervisors, leads, and future leaders within the clinic.
  • Manage staffing schedules, attendance, productivity, and performance expectations.
  • Champion an exceptional patient experience throughout every stage of the visit.
  • Resolve patient concerns quickly and professionally.
  • Monitor patient satisfaction trends and implement improvements.
  • Promote a welcoming, service-focused culture throughout the practice.
Financial & Business Performance
  • Manage clinic financial operations, including daily balancing, banking, expense control, and operational budgets.
  • Monitor productivity, scheduling efficiency, provider utilization, and reimbursement opportunities.
  • Support practice growth through capacity planning, schedule optimization, and patient access initiatives.
  • Drive achievement of clinic performance goals related to quality, volume, revenue, and profitability.
Quality, Compliance & Risk Management
  • Ensure compliance with HIPAA, OSHA, CLIA, and organizational policies.
  • Maintain survey readiness and support regulatory audits.
  • Monitor documentation quality, safety standards, and operational compliance.
  • Address operational issues proactively before they impact patient care.
  • Identify opportunities to improve workflows, reduce waste, and increase efficiency.
  • Lead implementation of new operational initiatives and process improvements.
  • Collaborate with corporate departments on technology rollouts, workflow enhancements, and organizational projects.
  • Utilize data and reporting to make informed operational decisions.
  • Partner closely with providers, Business Administrators, Operations leadership, Clinical leadership, Revenue Cycle, Human Resources, and other shared services.
  • Build strong relationships that support clinic success.
  • Serve as the operational leader responsible for the overall success of the practice.
