Job summary

Rose City Head & Neck Surgery LLC is seeking an experienced Practice Operations leader to supervise daily operations, HR activities, and financial processes in a busy medical office in Happy Valley, Oregon. You will coordinate appointments, scheduling, inventory management, and facilities maintenance while ensuring HIPAA and OSHA compliance.

This role emphasizes leadership, process improvement, and compassionate patient service.

Responsibilities

• Answering phones/ appointment scheduling.
• Coordinate surgery scheduling.
• Coordinate maintenance and cleaning.
• Controls the inventory and orders equipment and medical supplies.

• Organizes instrument and procedure sterilization principles and practices.
• Manage IT and telecom operations.
• Communicate with building management and maintenance.

Practice Operations

Oversee daily practice operations including:

• Answering phones/ appointment scheduling
• Coordinate surgery scheduling
• Coordinate maintenance and cleaning
• Controls the inventory and orders equipment and medical supplies
• Manages incoming correspondence.
• Organizes instrument and procedure sterilization principles and practices
• Manage IT and telecom operations
• Communicate with building management and maintenance

Human Resources

• Creates and leads a care team of medical assistants
• Coordinates hiring new team members, negotiating benefits, developing personnel policies, and resolving conflicts
• Manages team member schedules, work hours, and time off

Financial

• Manage the operating budget
• Oversee medical billing and collections
• Track revenue cycles
• Process payroll

Customer Service

• Interacts with patients and gains customer feedback about the practice
• Addresses patient complaints in a compassionate and timely fashion

Regulatory Compliance

• Maintain strict adherence to HIPAA (Health Insurance Portability and Accountability Act)
• OSHA (Occupational Safety and Health Administration) guidelines
• Provider credentialing

Qualifications and Skills

Experience: Prefer professional experience in healthcare operations or medical office management
