Job description

At Columbus Women’s Wellness – Psychological & Consulting Services (CWW), we are a mission‑driven, client and provider‑centered practice, dedicated to supporting the mental health of teen girls and women of all ages. As an all‑inclusive group practice of over 35 independent clinical providers and eight staff members, we are seeking a qualified Practice Manager to join our leadership team and make a positive impact on the lives of our clients, staff, and providers.

The Practice Manager will work directly with the President to maintain strong organizational function and a positive work culture. With established strong and efficient workflows, we seek a proactive problem‑solver who will lead CWW’s administrative team with intention and authenticity.

KEY RESPONSIBILITIES
  • Oversee practice staff and daily workflows: scheduling, phones, inbox, intake, waitlist, client communication, supply management, facility/location management
  • Maintain and improve systems in our EHR/practice management platform and shared technology programs (templates, tasks, automation, workflows)
  • Create/update departmental SOPs and ensure consistent execution across departmental teams ▪ Manage unexpected operational challenges
  • Work directly with CWW President to assess, develop, and implement key indicators of practice operations
  • Coordinate & oversee insurance workflows: benefits verification, authorizations (when needed), claims/denials follow‑up, and A/R visibility ▪ Liaise with Client Accounts/Billing to ensure clean, strong and stable revenue cycles, timely claim submission, and documentation flow
  • Track KPIs (conversion rate, no‑show rate, clinician utilization, claim aging/denials), develop and implement plan to strengthen KPIs
Leadership and Team Management
  • Foster a supportive, collaborative work environment, managing staff well‑being.
  • Supervise and develop administrative staff: hiring/onboarding, training, scheduling coverage, performance feedback, coaching
  • Maintain a positive, respectful culture with clear expectations and communication Client Experience & Problem‑Solving: • Ensure excellent, trauma‑informed, professional client interactions
  • Handle escalations with warmth and confidence (client concerns, scheduling problems, billing questions)
  • Deep knowledge of federal, state, and local regulations, confidentiality laws, and ethical standards in mental healthcare.
  • Support HIPAA compliance and consistent practice policies
  • Maintaining a growth‑ready approach with capacity planning, clinician utilization support, referral relationships, and scalable systems ▪
  • Collaborate with President to identify and implement business development opportunities
WHAT WE’RE LOOKING FOR
  • 3+ years’ experience in a healthcare practice operations role (group practice strongly preferred)
  • Bachelor’s or Master’s in business or healthcare administration (or equivalent work experience)
  • Strong knowledge of insurance‑based workflows (benefits verification, authorizations, claims/denials, A/R basics)
  • Familiarity with provider credentialing and contracting processes
  • Experienced, positive people manager & leader tasked with building accountability with a supportive approach
  • Comfortable with high volume, competing priorities, and confidential/sensitive situations
  • Tech‑savvy with EHR/practice management systems and Google Workspace/Microsoft Office
  • Experience implementing evidence‑based practices and improving important practice metrics
  • A calm, capable operator who can prioritize, communicate clearly, and lead through change.
  • Manager who is comfortable with metrics + accountability—without losing the human side of care
  • Manager who is energized by building order, improving systems, and supporting a team doing emotionally meaningful work
  • A leader who pays attention to business and workflow patterns and is able to communicate and collaborate with President on ways to maintain or strengthen them
