Essential Duties and Responsibilities

The Practice Manager is responsible for their assigned site(s), overseeing the operational effectiveness of the practice to maximize the patient experience, staff collaboration, effectiveness, and net revenues. They will maintain patient care schedules and flows that prioritize patient access, ensuring smooth and efficient patient workflows that optimize provider utilization, while providing cost-effective and quality care. The Practice Manager will foster a team-based and positive culture, leading through change management. An experienced, passionate, strategic, critical-thinking, 'can do' attitude, and a committed leader are required. Responsibilities include implementing best practices, standardization across all sites, and ensuring compliance with all federal and state regulations.

Responsibilities include:

  1. Managing daily operations, including fiscal health, staff and patient scheduling, revenue cycle, and occupational health and safety.
  2. Supporting clinicians with work schedules and EMR templates (experience with Nextech and/or EMA is a plus).
  3. Updating practice procedures to reflect organizational policies.
  4. Managing medical equipment and supplies, including vaccine inventory and maintenance.
  5. Ensuring compliance with legal, HIPAA, and governmental regulations, and maintaining patient confidentiality.
  6. Monitoring patient flow, satisfaction, and addressing concerns.
  7. Marketing the site(s) for recruitment and patient growth.
  8. Supervising staff, managing payroll, and promoting teamwork with a focus on Net Promoter Scores of 80% or higher.
  9. Strategic planning for practice growth, financial health, and adapting to changing needs.
  10. Managing budgets, submitting variance analyses, and course correction.

Requirements

  • Minimum of 3 years in healthcare management; 5+ years of experience if less than a Bachelor's degree.
  • Experience overseeing medical practices, preferably dermatology.
  • Strong communication, teamwork, negotiation, conflict management, decision-making, and problem-solving skills.
  • Proven leadership working with multidisciplinary teams, with clinical understanding.
  • Compassion, empathy, and a passion for customer service and caring for families.
  • Ability to interpret safety, operating, and procedure documents; effective speaking and writing skills.
  • Prior dermatology experience preferred but not required.
  • Prior medical assistance experience preferred but not required.
