The Practice Coordinator 2 is primarily responsible for representing the administrative team as the public face of the Practice and works closely with the administrative, clinical, and management teams to support practice operations and customer service recovery and intervention efforts. They provide support to all functions of the administrative teams, including but not limited to: CRM messages, telephone encounters, referrals, APeX in-baskets, scanning, filing, authorizations, and billing.

The PC 2 maintains all routine clerical operations and communications, adhering to UCSF House and Telephone Standards, and is sensitive to the needs of patients, staff, and providers. They are team players, flexible with changing priorities, and capable of problem-solving, prioritizing, and facilitating complex transactions. The PC 2 also follows AIDET & Living PRIDE standards.

This role impacts patient care by providing excellent customer service and facilitating accurate information flow between medical staff and departments to maximize efficiency. The PC 2 must be available to work at any UCSF campus as scheduled.

Required Qualifications :
  • High School diploma or equivalent with four years related experience; or college degree and 6 months related experience; or equivalent education and experience.
  • Successful completion of fingerprinting protocol and approval to be a cash collector, if applicable.
  • Strong computer skills, including proficiency with Office programs (Outlook, Word, Excel) and multiple patient records systems.
  • Ability to analyze situations, prioritize tasks, develop solutions, and work independently.
  • Excellent customer service and communication skills, both over the phone and in person.
  • Basic math skills.
  • Ability to handle sensitive situations with patients and staff.
  • Strong organizational and problem-solving skills.
  • Proven administrative and office coordination skills, with knowledge of medical terminology.
  • Completion of proficiency checklist within six months of training, covering various operational areas.
Preferred Qualifications :
  • Experience in healthcare settings, including patient scheduling, insurance verification, and medical records data abstraction.
  • Experience with appointment, surgical, or ancillary service scheduling.
  • Bi-lingual or multi-lingual skills (Spanish, Cantonese, Russian) preferred.
  • Experience with EPIC software.
