Job summary

Norton Rose Fulbright US LLP in St. Louis seeks a Practice Coordinator to support lawyers in the Business practice. The role requires presence in the St. Louis office at least four days per week under the firm’s hybrid policy. Overtime and flexible scheduling may be required.

The position supports day-to-day administrative operations, handles document management, calendaring, billing, travel, and client communications to ensure smooth matters and excellent client service.

Qualifications

  • Minimum of 5 years’ experience performing legal administrative duties in a law firm or professional services organization.
  • Proficiency in Microsoft Office and ability to learn new software quickly.
  • Strong interpersonal and written/verbal communication abilities.

Responsibilities

  • Prepare, edit and proofread a variety of legal documents.
  • Organize, maintain, and track documents on client databases.
  • Track deadlines and matter status, provide updates to attorneys.
  • Maintain calendars, schedule meetings, reserve conference rooms.
  • Review pre-bills and assist with client billing.
  • Coordinate travel arrangements.
  • Open and close client files, perform conflict checks.
  • Assist with time entries and client billing as needed.

The St. Louis office is seeking a Practice Coordinator to support lawyers within the Business practice. This role supports the day-to-day administrative operations of the practice, helping keep matters running smoothly and enabling lawyers to deliver exceptional client service. This position requires presence in the St. Louis office at least four days per week per the firm’s hybrid work policy. Overtime and schedule flexibility may be required from time to time.

Responsibilities
  • Prepare, edit and proofread a variety of practice area legal documents, including correspondence, agreements, spreadsheets and presentations
  • Organize, maintain, and track documents on client extranets or other databases
  • Actively track deadlines and matter status, providing regular updates to attorneys
  • Maintain calendars, coordinate and schedule meetings, send calendar invites and reminders, and reserve conference rooms
  • Review and edit pre-bills for submission to the billing department; research and identify outstanding invoices and payments
  • Interact with clients, outside counsel and others as requested
  • Manage physical and electronic files (iManage)
  • Assist with attorney time entry and client billing as needed
  • Process business expense reimbursements and vendor payments
  • Coordinate domestic and international travel arrangements with the firm’s travel provider
  • Open and close client files, including conflict checks, new matter forms, and engagement letters
  • Maintain and update contact lists, create labels and coordinate mailings as directed by timekeepers
  • Assist in preparing client proposal materials and PowerPoint presentations
  • Provide overflow support and backup as requested; may train or orient new staff
Qualifications
  • Associate’s or Bachelor’s degree preferred; high school diploma required
  • Minimum of 5 years’ experience performing legal administrative duties in a law firm or professional services organization; law firm experience preferred
  • Ability to anticipate needs, confirm next steps, and proactively identify and resolve issues
  • Proficiency in Microsoft Office; ability to learn new software quickly
  • Ability to work independently or collaboratively, with effective prioritization of workload
  • Strong interpersonal and relationship-building abilities with excellent verbal and written communication
  • Reliable, resourceful, organized, and detail-oriented
