Job summary

UCSF Health is hiring a Practice Coordinator in the Medicine Oncology - Thoracic Department to serve as the public face of the practice and to support operations, referrals, scheduling, and billing. You will coordinate with administrative, clinical, and management teams to improve patient service and workflow.

The role requires strong communication, superb organizational skills, and the ability to manage multiple priorities with minimal supervision.

Qualifications

  • High School diploma or equivalent with four years related experience.
  • College degree and 6 months related experience.
  • Experience with cash handling and fingerprinting protocols.
  • Ability to analyze situations and solve problems under deadlines.
  • Excellent customer service and communication skills, in person and on the phone.
  • Proficiency with medical terminology and office coordination.

Job Summary

Medicine Oncology - Thoracic Department — The Practice Coordinator 3 represents the administrative team as the public face of the Practice and collaborates with administrative, clinical and management teams to support practice operations and customer service recovery and intervention efforts. S/he provides support to all functions of the administrative teams including but not limited to: CRM messages, telephone encounters, referrals, APeX in-baskets, scanning, filing, authorizations, and billing.

Responsibilities
  • Maintain routine clerical operations and communications; adhere to UCSF House and Telephone Standards; be sensitive to the needs of patients, staff and providers.
  • Work as a team player, flexible with changing priorities; synthesize knowledge of practice operations to problem-solve, prioritize, and facilitate complex transactions.
  • Provide excellent customer service; facilitate and ensure accuracy of information flow between medical, hospital staff and departments to maximize unit efficiency.
  • Work at any UCSF campus as needed and scheduled.
Qualifications
  • Required: High School graduate or equivalent with four years related experience; or college degree and 6 months related experience; or equivalent combination of education and experience.
  • Required: Successfully passes fingerprinting protocol and is approved to be a cash collector, if applicable.
  • Required: Strong computer skills, basic keyboarding, and experience with at least two Office-type software programs (Outlook, Word, Excel); ability to navigate multiple patient records systems; ability to sit at a computer terminal with telephone headset for extended periods.
  • Required: Ability to analyze situations, prioritize, and develop solutions; work with minimal supervision; use good judgment and work independently under deadlines.
  • Required: Excellent customer service and communication/interpersonal skills, over the telephone and in person; basic math skills.
  • Required: Proven ability to deal with a wide variety of individuals; ability to deal sensitively and effectively with patients.
  • Required: Excellent organizational and problem-solving skills; strong writing skills to compose, edit, and proof a wide variety of documents.
  • Required: Demonstrated administrative/office coordination skills and knowledge of medical practice terminology.
  • Required: Within six months of start date, complete the proficiency checklist with the Supervisor, covering areas such as referrals, pend orders, scheduling, messaging, CRM, patient scheduling, letters, scanning, check-in/check-out processes, and related workflows (as applicable).
Preferred Qualifications
  • Demonstrated experience in health care (e.g., medical, dental, or veterinary) in patient scheduling, insurance verification, medical record data abstraction, or patient financial services.
  • Prior experience with appointment, ancillary service or surgical scheduling, or a combination of all three.
  • Bi-lingual or multi-lingual capability (Spanish, Cantonese, and Russian) strongly preferred.
  • Prior experience with EPIC.
