Job summary

Columbia University in New York City is seeking a Practice Coordinator to provide high-level administrative support to an assigned neurosurgery provider and back-end operations for the practice. The role ensures efficient clinic workflows, surgical coordination readiness, reporting, and continuity when the Practice Manager is away.

It requires strong organizational and communication skills, EPIC experience, and the ability to manage multiple tasks in a fast-paced academic medical center

Qualifications

  • Bachelor’s degree or equivalent combination of education and experience required.
  • Minimum of 3 years administrative experience in a healthcare, academic medical center, or physician practice setting.
  • Demonstrated experience supporting physicians or clinical leadership in a fast-paced environment.
  • Proficiency with electronic medical records systems (EPIC preferred).
  • Advanced proficiency in EPIC and Microsoft Office applications.

Responsibilities

  • Serve as the primary administrative contact for an assigned neurosurgery provider.
  • Coordinate daily clinic operations including scheduling, referrals, template management, and patient follow-up.
  • Partner with the Practice Manager to support oversight of backend administrative functions and operational workflows.
  • Assist with surgical coordination processes by ensuring documentation and authorization readiness in collaboration with internal teams.
  • Maintain accurate and timely documentation within EPIC, including patient communications and task management.
  • Support reporting, data tracking, and operational metrics as requested.
  • Provide administrative coverage for the Practice Manager during planned absences to ensure continuity of operations.
  • Reinforce standardized workflows, policies, and service expectations among administrative staff.
  • Identify operational gaps or inefficiencies and elevate concerns with recommendations.
  • Act as a liaison between providers, clinical teams, authorization teams, and administrative staff.
  • Ensure compliance with Columbia University policies, Service Corp standards, and departmental procedures.
  • Assist with onboarding, training, and mentoring of new administrative staff as needed.
  • Maintain professionalism, confidentiality, and effective communication in all interactions.
  • Perform any other duties assigned.

Position Summary

Minimum Qualifications

Preferred Qualifications
  • Experience in a surgical specialty practice, preferably neurosurgery or another procedural specialty.
Other Requirements
  • Minimum of 3 years of administrative experience in a healthcare, academic medical center, or physician practice setting.
  • Demonstrated experience supporting physicians or clinical leadership in a fast-paced environment.
  • Proficiency with electronic medical records systems (EPIC preferred).
  • Strong organizational, communication, and problem-solving skills.
  • Ability to manage multiple priorities and work independently with minimal supervision.
  • Familiarity with surgical scheduling, referrals, and authorization workflows.
  • Experience working within an academic medical center or Columbia University–affiliated practice.
  • Advanced proficiency in EPIC and Microsoft Office applications.
