Job summary

Columbia University Irving Medical Center's Neuroimmunology practice is seeking an experienced Administrative Coordinator with excellent coordination skills. The candidate will work closely with our Multiple Sclerosis physicians and nurse practitioner, coordinating patient visits, infusion appointments, and follow-up care.

Responsibilities include managing the practice's shared email inbox, submitting insurance prior authorizations, serving as liaison among the physician practice, infusion

Qualifications

  • Bachelor's degree or equivalent in education and experience.
  • Strong organizational, communication, and customer-service skills preferred.
  • Experience in medical, healthcare, or academic settings preferred.

  • Coordinate and schedule patient visits, infusion appointments, and follow-up care.
  • Manage shared email inbox, triage inquiries, and direct communications.
  • Prepare and monitor insurance prior authorizations for medications and services.
  • Serve as liaison among practice, infusion centers, pharmacies, carriers, and patients.
  • Support the Medical Director and coordinating Neuroimmunology Fellowship logistics.
  • Coordinate visiting speakers and educational programs, travel and events.
  • Prepare, submit, and track contracts; ensure timely execution and compliance.
  • Maintain efficient office operations and professional work environment.
  • Collaborate with clinicians and staff to support high-quality patient care.
  • Maintain HIPAA-compliant confidentiality of all sensitive information.

Position Summary

The Department of Neurology's Neuroimmunology practice is seeking an experienced Administrative Coordinator with excellent coordination skills. We are looking for a professional who understands the value of compassionate service. As with any position in medicine, an appreciation of and respect for privacy regulations and principles are prerequisites. The candidate will work closely with our Multiple Sclerosis physicians and nurse practitioner.

Responsibilities
  • Coordinate and schedule patient office visits, infusion appointments, and follow-up care, ensuring timely communication and confirmation with patients.
  • Manage the practice's shared email inbox by triaging inquiries, responding to routine requests, and directing communications to the appropriate team members.
  • Prepare, submit, and monitor insurance prior authorizations for medications, infusions, diagnostic testing, and other clinical services to ensure timely approvals.
  • Serve as the primary liaison among the physician practice, hospital-based and community infusion centers, specialty pharmacies, insurance carriers, and patients to facilitate continuity of care and resolve scheduling, authorization, and medication access issues.
  • Provide administrative support to the Medical Director of the Multiple Sclerosis Center in the coordination and administration of the Neuroimmunology Fellowship Program, including scheduling, correspondence, and program logistics.
  • Coordinate the practice's visiting speakers and educational programs by managing invitations, travel arrangements, meeting logistics, and event coordination.
  • Facilitate the preparation, submission, and tracking of contracts and related documentation, working closely with hospital administration and other stakeholders to ensure timely execution and compliance with institutional requirements.
  • Maintain efficient office operations by organizing files, managing supplies, coordinating administrative processes, and ensuring an orderly and professional work environment.
  • Collaborate with physicians, advanced practice providers, nurses, and administrative staff to support high-quality patient care and efficient practice operations.
  • Maintain confidentiality of patient, employee, and organizational information in accordance with HIPAA, institutional policies, and applicable regulations.
  • Perform additional administrative and operational duties as assigned to support the objectives of the Multiple Sclerosis Center and the Department.
Minimum Qualifications
  • Bachelor's degree or equivalent in education and experience.
Preferred Qualifications
  • A minimum of three years of related experience.
  • Experience working in a medical, healthcare, or academic setting.
  • Experience with patient scheduling and prior authorizations.
  • Strong organizational, communication, and customer-service skills.
  • Ability to manage multiple priorities and work collaboratively with clinical and administrative teams
