Job Summary

The incumbent works with Division clinicians in the Department of Neurology (DON), providing clinical care coordination and handling medication prior authorizations. The role requires managing patient information confidentially and in compliance with hospital policies. The individual must handle sensitive matters with discretion and tact, prioritize effectively in a busy clinical division, and demonstrate a good sense of urgency.

Qualifications
  • High school diploma or GED minimum
  • At least two years of relevant work experience
  • Additional training in office systems or post-high school education preferred
  • Knowledge of medication prior authorizations, practice operations, and standards
  • Understanding of filing, copying, scanning, printing, and faxing procedures
  • Proficiency in phone systems, handling complex calls, and providing detailed information
  • Professional and courteous communication skills
  • Ability to organize work neatly and alphabetize efficiently
  • Effective multitasking and adherence to protocols
  • Clear written communication via email and memos
  • Ability to work independently and respond on behalf of managers/providers
  • Typing and data entry skills at an advanced level
  • Intermediate skills in word processing, spreadsheets, databases, and presentations
  • Intermediate understanding of medical terminology and billing/fiscal information
  • Knowledge of hospital, State, and Federal requirements, including HIPAA and The Joint Commission policies
Responsibilities
  • Manage Epic in-basket messages and calls, including scheduling appointments and tests
  • Confirm, reschedule, and optimize provider schedules based on patient needs
  • Handle telephone messages, determine urgency, and relay information appropriately
  • Maintain positive interactions with patients, representing physicians and the department
  • Manage and review patient medical records and test results
  • Obtain and follow up on diagnostic reports and operative notes
  • Handle medication refills and prior authorizations
  • Review and process forms, routing them correctly and closing loops
  • Work effectively as part of the division team
  • Perform duties under moderate supervision with intermediate to advanced administrative skills
  • Provide cross-coverage and assist with special projects as needed
  • Follow HIPAA guidelines to ensure patient privacy and confidentiality
  • Perform other duties as assigned
