Philanthropy Data Manager

Job Summary

The Philanthropy Data Manager reports to the Senior Director of Information and Data Systems and works closely with the Associate Director of Information Systems and Reporting. The role facilitates the use of the philanthropic database by providing data exports that meet the needs of the Philanthropy and University stakeholders. The manager serves as the primary point of contact for data integrity inquiries, data collection, sharing, and exports, assists with system training, policy, and procedure development, and ensures high levels of data accuracy and integrity through data entry controls, hygiene practices, and routine audits. The position serves within the data governance structure as a data analyst, ensuring data is maintained securely and shared appropriately with colleagues who have a business need.

Responsibilities
  • Use lists, queries, and exports to extract constituent, fund, and/or gift data from the philanthropy database (e.g., Raiser's Edge) that meet highly specific criteria for fundraising, event invitations, or internal strategy discussions.
  • Develop and recommend data integrity and quality audits for the philanthropy database to ensure accuracy of data entry and record coding.
  • Develop methods for streamlining data entry and extraction processes; manage automation/mapping tools (e.g., Omatic Cloud) to facilitate coding accuracy and consistency.
  • Develop and document relevant business processes involving the philanthropy database, including data dictionary, code tables, and crosswalks for data that exists across multiple systems.
  • Perform regular data appending procedures from various sources (NCOA updates, email appends, etc.) following postal standards and best practices.
  • Partner with Alumni Engagement, Donor Engagement, and Annual Giving on appeal standards, tracking appeal performance, event record creation, and event registration tracking.
  • Other duties as assigned to accomplish departmental goals and objectives.
Required Qualifications
  • Bachelor's degree from an accredited college or university in Computer Science, Information Science, Business Management or related field.
  • Three years of experience in data analysis, reporting, or database systems management, preferably in a non‑profit or higher education setting.
Preferred Qualifications
  • Familiarity with all MS Office products (Excel, Word, Outlook).
  • Knowledge of data privacy and protection standards (PCI DSS/CASE Standards).
  • Formal training in information systems applications and electronic reporting with at least three years of directly related systems management experience.
  • Degree in Computer Science, Management Information Systems, or similar.
  • Statistical and analytical experience with sound recommendation skills.
  • Experience in higher education and/or a non‑profit environment.
  • Expertise with Raiser's Edge or similar nonprofit fundraising database; Blackbaud certification a plus (bCRE).
  • Experience with business intelligence or reporting software.
  • Self‑motivated, self‑directed, collegial, creative, and results‑oriented.
Knowledge, Skills, & Abilities
  • Ability to maintain confidentiality and uphold cybersecurity policies.
  • Ability to learn and effectively use new software.
  • Proficiency in Microsoft Office suite, especially Excel for data manipulation and analysis.
  • Excellent written and verbal communication skills, strong interpersonal skills and attention to detail.
  • Ability to train, motivate, and communicate with staff in a high‑volume, goal‑oriented work environment.
  • Technical understanding of constituent relationship management (CRM) database systems, preferably Raiser's Edge.
  • Proven ability to manage multiple projects with autonomy and accuracy amid frequent interruptions.
  • Capability to stay current with trends and best practices by reviewing relevant literature, policies, and attending conferences.
  • Knowledge of database structure, keyboarding skills, spreadsheet and data transformation techniques.
  • Proficiency in standard office equipment (printers, copiers, telephones).
Shift, Salary, and Benefits

Shift: Days, Monday–Friday (additional hours outside normal business hours may be required).

Pay Band: B12

Salary Minimum: $62,300 per year (salary commensurate with qualifications within the established range).

Benefits may include health, dental, and life insurance; participation in the Teacher Retirement System (or Optional Retirement Plan); earned vacation, sick leave, and 13 paid holidays. Full‑time employees eligible after 6 months may be considered for the Tuition Assistance Program.

All selected candidates must successfully pass a background check. Depending on duties a credit check and motor‑vehicle report may be required. Faculty hires must provide proof of completed academic degree(s) and, if applicable, an educational/credential evaluation.
