Job summary

The Jewish Federations of North America in Houston seeks an experienced Administrative Assistant to support the Chief Philanthropy Officer and philanthropy team. You will manage donor records, prepare materials, and coordinate events and campaigns.

You will work with marketing and operations to maintain up-to-date philanthropy content, ensure accurate donor documentation, and provide exceptional donor service. Evening/weekend events may be required.

Qualifications

  • College degree preferred.
  • 3–5 years of administrative, nonprofit, or fundraising experience preferred.
  • Demonstrated organizational skills and attention to detail.
  • Strong project and time management abilities.
  • Team player and self-starter with excellent communication.
  • Experience with databases/CRM and reporting tools.
  • Discretion and confidentiality in handling donor information.
  • Ability to balance multiple colleagues in a fast-paced environment.

Responsibilities

  • Provide administrative and operational support to the Chief Philanthropy Officer.
  • Serve as resource to Philanthropy Team members.
  • Support Senior Director, Philanthropy, through data management and donor tracking.
  • Manage Donor Honor Roll with Operations for donor recognition.
  • Update philanthropy content on the website with Marketing.
  • Process pledge submissions, donor records, and related transactions.
  • Coordinate expense reporting, invoices, and purchasing requests.
  • Assist with donor visits, meetings, and campaigns scheduling.
  • Prepare donor materials, briefings, stewardship packets, nametags, and presentations.
  • Coordinate philanthropy events and donor recognition initiatives.
  • Maintain donor records and engagement history in the CRM.
  • Collaborate with philanthropy, operations, marketing for effectiveness.
  • Provide excellent donor service and responsive communication.

Job description

The primary responsibilities for this role will include:

  • Provide direct administrative and operational support to the Chief Philanthropy Officer
  • Serve as a key administrative and operational resource to all members of the Philanthropy Team.
  • Provide support to the Senior Director of Philanthropy, Annual Campaign, through data management, reporting, donor tracking, and administrative follow‑up.
  • Manage the annual Donor Honor Roll process in partnership with the Operations team, ensuring accurate donor recognition and acknowledgment.
  • Work with the Marketing team to ensure regular updating of Philanthropy‑related content on the Jewish Federation of Greater Houston website.
  • Process pledge submissions, gift documentation, donor records, and other fundraising‑related transactions in a timely and accurate manner.
  • Coordinate expense reporting, invoice processing, purchase requests, and other departmental administrative functions.
  • Assist with scheduling donor visits, volunteer meetings, campaign appointments, and philanthropy‑related meetings.
  • Prepare donor materials, briefings, stewardship packets, nametags, and presentations.
  • Assist with the coordination and execution of philanthropy events, stewardship activities, donor recognition initiatives, and campaign programs.
  • Maintain accurate donor records, engagement history, and fundraising activity within the organization’s CRM system.
  • Work collaboratively with philanthropy colleagues, operations staff, marketing, and other departments to maximize organizational effectiveness and donor service.
  • Provide exceptional customer service and responsive communication to donors, volunteers, and community stakeholders.
Qualifications
  • College Degree preferred
  • Minimum three to five years of professional administrative, nonprofit, fundraising, or related experience preferred
  • Exceptional organizational skills and attention to detail
  • Strong project management and time management abilities
  • Team player and self‑starter
  • Excellent verbal and written communication skills
  • Strong customer service orientation and interpersonal skills
  • Experience working with databases, CRM systems, spreadsheets, and reporting tools
  • Proficiency in Microsoft Office Suite and other business software programs
  • Demonstrated ability to maintain confidentiality and exercise discretion
  • Experience supporting multiple team members in a fast‑paced environment
  • Ability to work independently and collaboratively
  • Understanding of the Jewish community preferred
  • Must be able to attend occasional evening and weekend events
Physical Demands

This job requires prolonged periods sitting at a desk and working on a computer, frequent hearing and talking. Must be able to lift up to 15 pounds at times.
