Job summary

International Justice Mission (IJM) seeks a Philanthropy Administrator to coordinate major donor engagement and support fundraising operations. This hybrid role is onsite in the Washington, DC area on Tuesdays and Thursdays, with remote options for non-local candidates.

The role reports to the Director of Revenue Operations and requires strong data accuracy in Salesforce, stakeholder coordination, and project management to enable donor impact.

Qualifications

  • Bachelor's degree or equivalent experience in a relevant field.
  • Minimum of three years in fundraising operations or related admin support.
  • Experience supporting multiple senior stakeholders with discretion and accuracy.

Responsibilities

  • Provide coordination support to four Sr. Philanthropy Officers.
  • Coordinate with stakeholders to compile information for donor responses.
  • Monitor major donor activity and escalate as needed.
  • Manage logistics for donor-related actions and meetings with IJM leadership.
  • Host Global Survivor Network members during donor visits and events.
  • Assist in developing onboarding materials and process improvements.

The Need

For over 25 years, IJM has pioneered the work to protect vulnerable people from violence. 9 out of 9 times in the last decade, IJM's Justice System Strengthening Projects have reduced slavery and violence between 50 and 85% for very large populations of people in poverty. As we grow to expand our impact to protect 500 million people from violence, we are seeking a Philanthropy Administrator to provide critical coordination and operational support to Sr. Philanthropy Officers (SPO's) through seamless coordination and operational excellence, helping deliver exceptional engagement and experiences to major donors while supporting fundraising efforts that protect people in poverty from violence.

This position is hybrid (onsite Tuesdays & Thursdays) if located in the Washington, DC area or remote for non-local candidates. It reports to Director of Revenue Operations and is only available for candidates with the right to work in the US.

Responsibilities
Operational Coordination
  • Provide coordination support to approximately four Sr. Philanthropy Officers;
  • Coordinate with internal and external stakeholders to compile necessary information for SPO responses to donor requests and inquiries;
  • Monitor major donor activity submitted through IJM's inbound service and escalat as appropriate;
  • Coordinate and manage logistics for donor-related actions, including written correspondence and in-person/virtual meetings with IJM Leadership and staff;
  • Serve as host for Global Survivor Network (GSN) members during donor visits and events;
  • Schedule and coordinate internal meetings and onboarding sessions on behalf of the SPO;
  • Modify donor-facing materials for SPOs to deliver to their respective donors;
  • Manage coordination and logistics of SPO shipping requests;
  • Make targeted adjustments to basic reporting tools to address SPO business questions and enable data-driven decision making;
Data Management
  • Ensure data accuracy by incorporating SPO insights into Salesforce;
  • Manage updates to donor contact information, categorical tags, gifts, notes, and actions;
  • Handle the creation of accounts, contacts, campaigns, and select opportunities and activities;
  • Resolve data quality issues, including duplicate records and parent/child account structures;
Process Improvement & Team Support
  • Assist in developing and implementing team processes to improve team efficiency, donor engagement, scalability, and/or revenue growth;
  • Assist in the development of onboarding materials;
Project & Program Management
  • Facilitate project team meetings, including communication of decisions, action items, and ensuring follow-up;
  • Develop project planning materials to show how goals will be achieved through actionable strategies and plans;
  • Prepare and help facilitate stakeholder briefings. Stakeholders may include internal IJM Leadership, IJM Program staff, and constituents;
  • Schedule all project-related meetings, including meetings with donors and external contractors, as needed;
  • Manage budget and approve expenses, if necessary; and
  • Participation in IJM's community of spiritual formation.
Qualifications
Education & Experience
  • Bachelor's degree in business administration, nonprofit management, communications, project management, or a related field, or an equivalent combination of education and relevant professional experience;
  • Minimum of three years of progressively responsible experience in fundraising operations, sales operations, executive or administrative support, project coordination, or a related field;
  • Demonstrated experience supporting multiple senior stakeholders and managing competing priorities with accuracy, discretion, and limited oversight;
  • Experience coordinating complex meetings, events, donor interactions, or other stakeholder engagements involving internal and external participants;
  • Experience maintaining constituent, customer, or donor data in a CRM system, including record creation, data updates, quality assurance, and issue resolution;
  • Experience coordinating projects or programs, including developing plans, documenting decisions and action items, managing timelines, and following through with stakeholders;
  • Experience identifying process gaps and supporting the design, documentation, and implementation of improved workflows;
  • Experience in nonprofit fundraising, major gifts, donor relations, philanthropy operations, or a comparable relationship management environment preferred; and
