Job summary

BBYO is seeking a Philanthropic Operations Associate in Washington, DC (Hybrid; in-office at least 2 days per week). The role focuses on maintaining donor systems, data integrity, and operational processes to support fundraising goals and donor relationships.

Responsibilities include gift processing, donor acknowledgments, CRM updates in Salesforce, grant reporting, and collaboration with Finance and Marketing teams. Bachelor’s degree required with 1–2 years CRM/donor ops experience.

Qualifications

  • 1–2 years of experience with CRM systems such as Salesforce and donor databases.
  • Bachelor's degree required; donor database experience preferred.
  • Process-oriented with strong attention to detail and ability to multitask.
  • Excellent organizational and time management skills in a fast-paced environment.

Responsibilities

  • Manage gift processing, donor acknowledgments, pledge tracking, CRM updates and related operations.
  • Maintain donor records in Salesforce, including contact info and history, and resolve issues.
  • Handle matching gifts, stock gifts, monthly giving and online fundraising platforms.
  • Track engagement and ensure data integrity for reporting, segmentation and comms.
  • Create receipts, invoices, reminders, and donor deliverables.
  • Prepare reports for grants, donations and fundraising activities; assist with audits.
  • Collaborate with Finance on revenue reconciliation and internal controls.
  • Support Direct Marketing campaigns and load data for segmentation and reporting.
  • Coordinate with screening vendor and load results into Salesforce.
  • Respond to donor inquiries; provide Salesforce training and update procedures.

Philanthropic Operations Associate

Systems and Technology Department

Role Location: Washington, DC – Hybrid in office min 2 days/wk

Salary $60K-$65K

At BBYO, we are motivated by our mission and seek a motivated Philanthropic Operations Associate to join our team and support donor development efforts. This role emphasizes strong attention to detail, organization, and the ability to manage multiple priorities in a fast-paced, mission-driven environment. The Philanthropic Operations Associate contributes to operational and donor-facing activities to help the team reach fundraising goals and build lasting relationships with BBYO supporters.

The position focuses on maintaining systems, data, and operational processes that support BBYO’s fundraising program. Day to day responsibilities include helping keep Salesforce and related fundraising systems running smoothly, maintaining accurate donor and fundraising data, supporting gift and grant processing, and producing reports that inform the team’s work.

We seek someone with experience in donor and database operations who enjoys working with data and keeping it clean, usable, and compliant with organizational and legal standards. The ideal candidate has strong attention to detail and understands how good data supports smart decision-making.

Responsibilities
  • Manage gift processing, donor acknowledgments, pledge tracking, CRM updates, and related development operations workflows.
  • Maintain accurate, up-to-date donor records in Salesforce, including contact information, relationship history, and processing returned mail and address changes.
  • Manage matching gifts, stock gifts, monthly giving, and online fundraising platforms, and keep related donor records current.
  • Track donor engagement and ensure data integrity for reporting, segmentation, and communications.
  • Create and send acknowledgment letters, donation tax receipts, invoices, pledge reminders, collection follow-ups, and other donor deliverables.
  • Track campaign progress, sponsorships, pledges, and outstanding payments; assist with preparing and submitting required reports for grants, donations, and fundraising activities.
  • Work closely with the Finance team to ensure proper reconciliation of all revenue and cash flow, and support financial audits.
  • Support Direct Marketing campaigns and other fundraising initiatives, helping set up outreach and online donation pages, pulling audiences for marketing segmentation, and providing reporting on campaign results.
  • Coordinate with external screening vendor to submit donor lists for bulk wealth screening, and load the results back into Salesforce.
  • Monitor the donation and gift-processing inboxes and respond to donor inquiries in a timely manner, troubleshooting concerns and following up on internal and external requests as needed.
  • Provide training and ongoing support to fundraising staff on Salesforce functions as needed.
  • Maintain and update documentation of fundraising operational procedures and processes.
  • Provide general administrative support to the Philanthropic Engagement team.
  • Supervise the Philanthropic Engagement operations intern, when one is on the team.
  • Other duties as assigned.
Qualifications
  • 1–2 years of experience with CRM systems such as Salesforce, prospecting platforms including iWave, and computer software, particularly Excel. Donor database experience preferred.
  • Bachelor's degree required
  • Some experience in development and fundraising preferred
  • Process-oriented and capable of working quickly while paying attention to detail.
  • Excellent organizational and time management skills and the ability to manage multiple priorities and deadlines.
  • Excellent interpersonal skills and an interest in working in a dynamic and fast-growing development operation.
  • Works well in a team atmosphere.
  • Attend all major BBYO events including Staff Conference and International Convention each year, as well as team retreats.
