Job summary

BBYO is seeking an Associate, Talent Services in the Washington, DC area to support the Director, Talent Services by coordinating recruiting logistics for consultants, educators, speakers, and song leaders across immersive experiences. This role sits on the International Convention team and requires professionalism and meticulous attention to detail.

We are looking for an Associate, Talent Services who will provide support to the Director, Talent Services by coordinating the logistics of recruiting and managing “talent” (consultants, educators, speakers, and song leaders) who provide content that deepens Jewish impact across all immersive experiences. This role is part of the International Convention (IC) team and is supervised by the Director, Talent Services.

SHAPING THE FUTURE FOR TEENS AND YOURSELF

This role provides critical administrative support to the Talent Services function, ensuring that all processes run smoothly and efficiently while having the flexibility and sense of calm for when they don’t. The position requires a high degree of professionalism, attention to detail, and the ability to perform effectively in a fast-paced, high-volume environment while supporting the delivery of impactful experiences for the Jewish community.

Responsibilities
  • Communicate clearly with internal stakeholders and external talent to confirm schedules, deliverables, travel details, and required documentation.
  • Assist with the coordination for talent per directives of the Director, Talent Services for smaller events, including regional conventions.
  • Coordinate logistics for hiring, onboarding, travel, and payments for talent, including contract processing, payment workflows, and travel coordination.
  • Coordinate and process contracting and payments for IC Leads locations.
  • Maintain accurate records, timelines, and checklists to ensure deliverables are met across multiple concurrent programs and deadlines.
  • Support talent coordination for International Convention, regional conventions, summer programs, adult experiences, and other key program moments.
  • Support the Jewish Enrichment team by coordinating logistics for hiring, onboarding, travel and payments for song leaders and Jewish Enrichment Consultants (JECs).
  • Maintain a database and tracking system for speakers and other talent (e.g., contact information, program assignments, contracts, travel, and payment status).
  • Provide administrative and operational support to the Customer Service team by managing email correspondence, drafting timely and professional responses, and ensuring clear, consistent communication with internal and external stakeholders.
  • Provide support for the Executive Vice President by preparing materials, coordinating logistics and following up on key tasks and projects.
  • Travel will include International Convention, Staff Conference, and the Movement Experiences (ME) Team Retreat. Also, role may staff a summer program should they be interested (this is not required).
Skills
  • Collaborative self-starter comfortable working in a fast-paced environment.
  • Must have strong attention to detail, follow-through, and calm under pressure.
  • Budget tracking experience and strong technical skills, including Airtable, Microsoft Office 365, and Adobe Creative Suite.
  • Very motivated, creative, and willing to take risks—entrepreneurial in spirit.
  • Strong listening skills, public speaking skills, flexibility, and ability to work with different constituents.
  • Capacity to take initiative and lead projects from beginning to end, including working with vendors.
