DEPARTMENT SUMMARY: The Los Angeles LGBT Center’s Department of Health Services is one of the nation’s largest and most experienced providers of LGBTQ-specialized primary care and related services, Our mission to help LGBTQ people lead healthier, happier lives is supported by our comprehensive array of client-centered services including primary care, mental health, psychiatry, sexual health, pharmacy, case management, nutrition, clinical research, housing services and a food pantry. The Center is one of a handful of Federally Qualified Health Centers in the nation specializing in serving LGBTQ people.

JOB SUMMARY: The Pharmacy Inventory Coordinator performs all aspects of inventory management including drug ordering, creating/maintaining drug profiles in Pioneer Rx, price updates, perpetual and quarterly inventories, oversees inventory/maintenance of the automated filling equipment, and drug returns through the reverse distributor for all pharmacy, dispensary and clinic medication rooms at various locations. The Pharmacy Inventory Coordinator is also a member of the 340B compliance team.

ESSENTIAL FUNCTIONS
Inventory Management
  • Order, receive, and store all medications and supplies, including AM/PM orders and ScriptPro Robot items
  • Monitor and maintain appropriate inventory levels, accounting for back-ordered items
  • Perform monthly inventory counts and weekly perpetual inventory checks, including controlled substances and top 10 antiretrovirals (ARVs)
  • Conduct random stock verifications and adjust quantities in PioneerRx as needed
  • Remove and store expired medications separately; coordinate regularly with reverse distributor
  • Review drug usage and PAR levels to proactively identify and resolve inventory issues
  • Perform weekly drug backorder reviews and ensure proper documentation and communication
Data & Systems Management
  • Accurately enter and update medication data in PioneerRx in accordance with Center procedures
  • Maintain current system queues (e.g., ready for pick-up, ready for fill, return to stock)
  • Complete and reconcile inventory-related invoices
  • Maintain paperwork and filing systems in compliance with pharmacy laws
Medication Preparation & Dispensing
  • Prepare and fill automated dispensing equipment daily, including loading vials, labels, and related supplies
  • Complete floor orders, including purchasing and preparing items for pickup
  • Order and follow up on FOA (fill-on-arrival) items and communicate with clients as needed
  • Perform LAI (long-acting injectable) stock checks to ensure appointment readiness
Compliance & Quality Control
  • Ensure proper storage of all medications, including refrigerator and freezer items
  • Log and monitor refrigerator/freezer temperatures; respond to excursions and quarantine items as needed
  • Collaborate with clinic staff to ensure compliance with the 340B program
  • Participate in the 340B compliance team and support ongoing program requirements
Communication & Coordination
  • Communicate with vendors regarding damaged items and ensure timely resolution
  • Send weekly notifications to providers and staff about medication stock issues, especially for hormone therapies
  • Monitor and respond to all inventory-related chats and emails in a timely manner
  • Interact with patients, providers, staff, and external pharmacies in a professional and courteous manner
  • Assist Financial Coordinators with tasks as needed
  • Participate in meetings and collaborative discussions
General Support
  • Help maintain a clean, organized, and safe pharmacy environment
  • Perform other duties as assigned
QUALIFICATIONS
  • Knowledge of or experience working with the LGBTQ community and familiarity with issues of particular relevance to LGBTQ people
  • A passion for the Center’s work and its mission to make the world a better place for LGBTQ people
  • Current California Pharmacy Technician License; National Pharmacy Technician Certification preferred
  • Minimum 2 years of experience in a high-pressure professional medical environment and ability to work some evenings and weekends
  • Strong inventory / 340b purchasing knowledge
  • Strong communication, organizational, and interpersonal skills with a high level of attention to detail
  • Ability to work with pharmacy applications and other software systems
  • Working knowledge of Pioneer Rx preferred
  • Bilingual skills a plus (English/Spanish fluency preferred)
