Job Description:

This full-time role supports an executive leader with wide-ranging administrative and personal tasks. Success in this role requires outstanding communication skills, a strong sense of urgency, and the ability to juggle multiple priorities while maintaining confidentiality and professionalism.

Key Responsibilities:

  • Maintain and coordinate a demanding calendar, managing meetings, appointments, and reminders
  • Oversee incoming communications including emails and calls, responding and prioritizing as needed
  • Build and maintain strong working relationships with internal and external contacts
  • Plan detailed travel itineraries, including booking transportation, lodging, and other logistics
  • Assist with preparing executive-level documents such as presentations and briefings
  • Participate in meetings, document notes, and track follow-ups on action items
  • Handle a range of personal errands and household tasks on behalf of the CEO
  • Liaise across departments and with external stakeholders to support business goals
  • Drive special initiatives and time-sensitive projects as directed by the executive
  • Support planning and logistics for both corporate and personal events
  • Ensure timely completion of tasks and monitor deadlines
  • Exercise sound judgment when handling confidential and high-impact matters
  • Anticipate needs by researching and compiling relevant materials or insights in advance

Qualifications:

  • Bachelor’s degree strongly valued
  • 5+ years of experience supporting senior executives in a similar capacity
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Flexible availability outside standard business hours, depending on needs
  • Strong organizational and problem-solving abilities
  • Discretion and professionalism in handling sensitive information
  • Effective communication skills and ability to interact across all levels of the organization

Additional Details:

  • Standard Monday–Friday schedule, with occasional extended hours
  • Must be able to operate in a blend of office, remote, and on-the-go environments
  • A high degree of autonomy and self-direction required
