Job summary

UPMC is seeking a Perioperative SCM Operations Coordinator to support Shadyside hospital. The role ensures timely and accurate procurement of inventory, maintaining high accuracy in ordering supplies for surgical cases.

The candidate will interact with clinical staff, monitor vendor shipments, manage par levels, and perform cycle counts in a fast-paced environment. The position is full-time, Monday–Friday, with no weekends.

Qualifications

  • High school diploma with 2 years related experience or Bachelor's degree.
  • Experience in inventory control.
  • Strong organizational and communication skills.
  • Preferred: experience managing medical product inventories.

Responsibilities

  • Monitors and controls walk-in inventory from vendor reps.
  • Monitors consignment levels and coordinates with vendors to ensure product availability while minimizing UPMC-owned product.
  • Develops and evaluates par levels and redistributes slow-moving items to reduce waste and spend.
  • Establishes items in par locations with proper storage and labeling for traceability.
  • Performs cycle counts and root-cause analysis to resolve variances.
  • Responds to emergent physician and clinical requests and identifies cost-reduction opportunities.
  • Examines incoming shipments for accuracy and quality against PO quantities.
  • Monitors and adjusts inventory levels to meet end-user needs for surgical cases.
  • Accounts for inbound freight costs with the on-site Materials Manager.
  • Orders high-dollar surgical supplies and equipment.

UPMC is looking for a Perioperative SCM Operations Coordinator to support Shadyside hospital.

This full-time position works Monday- Friday, 6:00am - 2:00pm. No weekends required!

Purpose:

Supports the needs of assigned Operating Rooms/procedural areas in the hospital by ensuring that inventory is obtained in a timely and accurate manner. Maintains a high standard of accuracy when ordering supplies and interacts frequently with the hospital clinical staff to ensure service levels are being met. Efficiently manages tasks while working in a sterile, fast-paced and high-demand environment.

Responsibilities:

  • Monitors and controls walk-in inventory from vendor reps.
  • Monitors consignment levels and works closely with vendor representatives to ensure product availability for surgical case load while minimizing UPMC owned product.
  • Develops and evaluates par levels and makes adjustments as needed to support service levels with minimal overstock. Re-distributes slow moving or items no longer needed to other UPMC facilities to reduce waste and overall spend. Receives high dollar products into inventory management system. Capable of basic Excel usage; Access preferred.
  • Identifies items to be ordered as warehouse stock or non-stock and appropriately establishes the items within the par location, allocates the proper storage requirements and accurately labels the product for identification and traceability.
  • Closely monitors expiration dates of all products and documents findings on a monthly basis to ensure compliance and redistribute slow moving products to other facilities to reduce waste. Stores items within designated storage locations accurately and maintains the supply areas neat and clean with the proper labels for identification. Performs cycle counts; performs root cause analysis to resolve inventory variances.
  • Responds quickly to emergent physician and clinical requests, including any product concerns or material issues. Identifies opportunities for service improvements, cost reductions and product standardization in support of these initiatives.
  • Examines incoming shipments of supplies to verify the accuracy and quality of the vendor shipment with PO quantities and product types ordered.
  • Monitors and adjusts inventory levels in order to mitigate excess inventory and to ensure the end-users have what is needed to perform surgical cases.
  • Accountable for monitoring and controlling inbound freight and courier costs through working with the UPMC Freight and on-site Materials Manager.
  • Orders high dollar surgical supplies and equipment.

Required

  • High school diploma and 2 years of related experience Or Bachelor's degree
  • Previous inventory control experience

  • Experience managing medical product inventories

  • Act 34
