Job summary

Northern Light Health in Portland, ME seeks a patient registration specialist to provide on-site, patient-centered service in a busy clinical and front-office environment. You will greet patients, collect demographics, verify insurance eligibility, process co-pays and payments, and coordinate with care teams to ensure a smooth admission or visit.

This role requires accurate data entry, ability to work weekends/holidays as needed, and strong interpersonal and communication skills to support

Qualifications

  • High School Diploma or GED required.
  • 1+ years of experience in a hospital, office setting, customer service setting, or phone support setting.
  • Influenza vaccination for the current flu season or commitment to receive it when available.
  • Ability to work onsite in Portland, ME.
  • Per Diem availability, irregular shifts including weekends/holidays.
  • Must be 18 years of age or older.

Responsibilities

  • Responsible for providing patient-oriented service in a clinical or front office setting.
  • Performs clerical and administrative duties related to patient care, including greeting and checking in patients, answering phones, collecting co-pays and insurance payments, processing paperwork, and front office duties.
  • Communicates with patients and families to complete registration by collecting demographics, health information, and verifying insurance eligibility.
  • Utilizes computer systems to enter or verify patient data in real-time for accuracy and completeness.
  • Gathers clinical information and processes referrals, pre-certification, pre-determinations, and pre-authorizations per insurance requirements.
  • Verifies insurance coverage, benefits and creates price estimates; reverifications as needed.
  • Collects patient co-pays and discusses out-of-pocket financial obligations with patients.
  • Identifies outstanding balances from previous visits and attempts collection.
  • Collects data from patients and referring providers to schedule appointments prior to discharge.
  • Responds to patient and caregiver inquiries with compassion and respect.
  • Generates and analyzes patient data reports and follows up on issues.
  • Maintains up-to-date knowledge of registration requirements across units.

We offer 2 weeks of paid training. The hours during training will be 8:00 AM - 4:30 PM EST from Monday - Friday. Training will be conducted onsite.

Primary Responsibilities
  • Responsible for providing patient - oriented service in a clinical or front office setting
  • Performs a variety of clerical and administrative duties related to the delivery of patient care, including greeting and checking in patients, answering phones, collecting patient co - pays and insurance payments, processing paperwork, and performing other front office duties as required in a fast - paced, customer - oriented clinical environment
  • Communicates directly with patients and / or families either in person or on the phone to complete the registration process by collecting patient demographics, health information, and verifying insurance eligibility / benefits
  • Utilizes computer systems to enter access or verify patient data in real - time ensuring accuracy and completeness of information
  • Gathers necessary clinical information and processes referrals, pre - certification, pre - determinations, and pre - authorizes according to insurance plan requirements
  • Verifies insurance coverage, benefits and creates price estimates, reverifications as needed
  • Collects patient co - pays as appropriate and conducts conversations with patients on their out-of-pocket financial obligations
  • Identifies outstanding balances from patient’s previous visits and attempts to collect any amount due
  • Responsible for collecting data directly from patients and referring provider offices to confirm and create scheduled appointments for patient services prior to hospital discharge
  • Responds to patient and caregivers' inquiries related to routine and sensitive topics always in a compassionate and respectful manner
  • Generates, reviews and analyzes patient data reports and follows up on issues and inconsistencies as necessary
  • Maintains up - to - date knowledge of specific registration requirements for all areas, including but not limited to: Main Admitting, OP Registration, ED Registration, Maternity, and Rehabilitation units

Required Qualifications
  • High School Diploma/GED
  • 1+ years of experience in a hospital, office setting, customer service setting, or phone support setting
  • Influenza vaccination for the current flu season (typically August-May) or commitment to receive the influenza vaccination when available for the upcoming flu season
  • Ability to work onsite in Portland, ME
  • Ability to work on a Per Diem basis, irregular shifts as business requires, including weekends, holidays, etc. (primarily on weekends from 11:00am – 7:00pm)
  • Must be 18 years of age or older
Preferred Qualifications
  • Experience with using Microsoft Office products
  • Experience in a Hospital Patient Registration Department, Physician’s office, OR any medical setting
  • Experience in insurance reimbursement and financial verification
  • Experience in requesting and processing financial payments
  • Ability to perform basic mathematics for financial payments
  • Working knowledge of medical terminology
  • Understanding of insurance policies and procedures
Soft Skills
  • Strong interpersonal, communication, and customer service skills
Physical and Work Environment
  • Standing for long periods of time (10 - 12 hours) while using a workstation on wheels and phone / headset

The hourly pay for this role will range from $16.00 to $29.00 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
