Job summary

Optum is seeking a Per Diem Practice Support Assistant in Medford, MA to help a Pediatrics team deliver high-quality patient care. You will handle scheduling, data accuracy, patient outreach, and front-desk tasks across varied hours.

The role requires a High School Diploma or GED and 1+ years of customer service, with preferred Associate's in medical office administration and experience with Epic EMR. Some pediatrics exposure helps, and scheduling software experience is valued.

Responsibilities

  • Manage complex scheduling tasks, including appointment booking and patient outreach.
  • Ensure accurate data collection and reporting; handle follow-up activities and referrals.
  • Deliver exceptional customer service and resolve escalated issues.
  • Oversee waiting room operations and assist with check-in/check-out processes.
  • Process forms, prior authorizations, prescriptions renewals, and other documentation.
  • Collaborate with supervisors on coverage and workflow.
  • Participate in quality improvement initiatives and special projects.

Position in this function performs Per Diem Practice Support Assistant duties with a high level of autonomy and competency. Serves as a key member of the Pediatrics team, delivering excellent customer service and supporting strong patient-clinician relationships. In addition to core responsibilities, handles significant higher-level administrative tasks.

Schedule: This is a per diem role

there is no set schedule. Will be called in to provide coverage depending on business need during the business hours of Monday - Friday, 7:45am - 6pm.

Primary Responsibilities:
  • Manage complex scheduling tasks, including appointment booking, template adjustments, and patient outreach
  • Ensure accurate data collection and reporting; handle follow-up activities, referral tracking and insurance authorization processing
  • Deliver exceptional customer service, resolving escalated issues and supporting patient satisfaction
  • Oversee waiting room operations, verify patient information, and assist with check-in/check-out processes
  • Complete and process forms, prior authorizations, prescription renewals, and other documentation
  • Collaborate with supervisors on coverage and workflow
  • Participate in quality improvement initiatives and special projects

Required Qualifications:
  • High School Diploma/GED
  • 1+ years of customer service experience
  • Basic proficiency with Microsoft Office
Preferred Qualifications:
  • Associate's degree in medical office administration program
  • Previous Pediatrics experience
  • Proven experience with scheduling software and electronic medical records systems (Epic or equivalent)
  • Proven solid problem solving and complex patient management skills
Benefits & Compensation

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. The hourly pay for this role will range from $16.15 to $28.80 per hour based on full-time employment. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). We comply with all minimum wage laws as applicable.
