Job summary

Academia.edu is seeking an Editorial Specialist to oversee the peer-review process for manuscripts submitted to our platform. You will ensure timely reviews and smooth manuscript journeys, coordinating with authors, reviewers, and editors.

You will screen reviewer lists, extract suitable candidates outside the platform, and guide manuscripts through editorial decisions and revisions, maintaining high standards and ethical norms.

Qualifications

  • Bachelor’s degree in a natural or technical science field; Master’s degree preferred but not required.
  • 2+ years experience overseeing day-to-day peer-review activities for a scientific journal in a similar role.
  • Experience working independently and taking initiative.
  • Experience efficiently managing publication logistics for a large volume of manuscripts.
  • Familiarity with HTML, PDF, LaTeX and XML formats.
  • Strong skills using MS Office applications (Word, Excel, PowerPoint).
  • Ability to pay close attention to detail.
  • Ability to meet time-sensitive deadlines.
  • Ability to adapt to change and prioritize multiple responsibilities with business impact.

Responsibilities

  • Screen lists of recommended reviewers in the Academia.edu database and look for suitable candidates outside the platform to ensure qualified reviewers are invited.
  • Check the collected peer review reports and lead manuscripts through subsequent editorial decisions and author revisions.
  • Collaborate with authors to ensure all relevant information is collected in a timely manner and manuscripts are revised to reviewers' and editors' satisfaction.
  • Collaborate with Publishing Managers to prevent delays and issues that could impact reputation or adherence to ethical norms.
  • Collaborate with the production service provider to ensure manuscripts are prepared according to internal guidelines and industry standards, and published without delays following final acceptance.
  • Work independently and against short deadlines so the published papers meet high standards of presentation.

  • Collaborate closely with authors to ensure all relevant information is collected in a timely manner and manuscripts are revised to reviewers' and editors' satisfaction.

  • Collaborate closely with the Publishing Managers of the assigned journals to prevent any delays and issues that could impact reputation or adherence to ethical norms.

  • Collaborate with the production service provider to ensure manuscripts are prepared according to internal guidelines and industry standards, and published without delays following the final acceptance.

  • Work independently and against short deadlines so the published papers meet the high standards of presentation expected by authors, editors, and indexing databases.

Requirements
  • Bachelor’s degree in a natural or technical science field and sufficient proven experience processing papers for journals within natural or technical sciences fields. Master’s degree preferred but not required.

  • 2+ years experience overseeing the day-to-day peer-review activities for a scientific journal in a similar role within an academic publishing company or within the publishing department of a scientific society/association.

  • Experience working independently and demonstrating initiative.

  • Experience efficiently managing publication logistics for a large volume of manuscripts.

  • Familiarity with HTML, PDF, LaTex and XML formats

  • Strong skills using MS office applications (Word, Excel, PowerPoint).

  • Ability to pay close attention to detail.

  • Ability to meet time-sensitive deadlines.

  • Ability to adapt to change and to prioritize multiple responsibilities with a sense for business impact.
