Summary

The Front Desk Associate role offers an opportunity for the right candidate to apply their professional and personal skills by engaging with families to provide a welcoming, first-class experience. This role requires an organized, multi-tasking, responsible, and dynamic individual to carry out all front desk functions and manage administrative tasks for the medical team, aligning with PM's mission, vision, values, and culture.

Description

To perform this job successfully and deliver a first-class, efficient, and accurate experience for our families, an individual must satisfactorily carry out each essential duty. The requirements listed below represent the knowledge, skills, and abilities needed:

  1. Greet families professionally in person and over the phone.
  2. Answer patient/family questions to the best of their ability and seek clarification when needed.
  3. Employ empathy and active listening in difficult interpersonal situations.
  4. Support patient care quality initiatives as directed.
  5. Coordinate escalations and urgent issues to ensure timely resolution.
  6. Collaborate with site leadership to manage complex patient issues.
  7. Employ PM Pediatric Care’s core values to assist patients, families, and team members in navigating PM systems before, during, and after visits.
  8. Monitor and manage patient flow, assist families with self-registration.
  9. Stay current on workflows, responsibilities, and technology through education.
  10. Register all patients, maintain accurate patient records, and update demographics, insurance, and financial info while adhering to HIPAA.
  11. Manage incoming patient documents, mail, and correspondence properly.
  12. Maintain confidentiality and privacy of patient information, following HIPAA guidelines.
  13. Perform opening and closing duties, including organizing, stocking, sanitizing, and reconciling.
  14. Execute other duties as assigned.
Qualifications
  • Team player capable of working independently in a fast-paced environment.
  • Intermediate skills in Microsoft Office Suite.
  • Flexible work schedule; may require travel within reasonable limits.
  • Excellent customer service and telephone skills.
  • Strong verbal and written communication skills.
  • Professional, friendly demeanor.
  • Detail-oriented and quality-focused.
  • Ability to perform basic calculations (e.g., cash handling).
  • Outstanding time management, organizational, and critical thinking skills.
  • Situational awareness and ability to react to urgent situations effectively.
  • Experience in healthcare and knowledge of medical insurance preferred.
  • Ability to relate to children and understand family interactions.
  • Comfortable with shifting demands.
  • Proficient in navigating multiple computer systems.
  • Previous experience in front desk, concierge, customer service, or hospitality preferred.
  • High school diploma or GED required.
