Summary

The Front Desk Associate role offers an opportunity for the right candidate to apply their professional and personal skills by engaging with families to provide a welcoming, First-class Experience. This role requires an organized and multi-tasking individual to perform all front desk functions and manage administrative tasks for the medical team, aligning with PM's mission, vision, values, and culture.

Must have Monday and weekend availability!

Full Time and Part Time positions available! (Part Time = 24 hours/week)

Description

To perform this job successfully and provide families with a First-class Experience that is Efficient and Accurate, an individual must satisfactorily carry out each essential duty. The following requirements are representative of the knowledge, skills, and abilities needed:

  1. Greets families professionally both in person and on the phone.
  2. Answers patient/family questions to the best of their ability and seeks clarification when needed.
  3. Uses empathy and active listening in difficult interpersonal situations.
  4. Supports patient care quality initiatives as directed.
  5. Coordinates escalations and urgent issues to ensure timely resolution.
  6. Collaborates with site leadership to manage complex patient issues.
  7. Employs PM Pediatric Care’s core values to help patients, families, and team members navigate PM systems.
  8. Monitors and manages patient flow, assisting families with self-registration.
  9. Stays current on workflows, responsibilities, and technology through education.
  10. Registers all patients, maintaining accurate and complete accounts while adhering to HIPAA guidelines.
  11. Manages incoming patient documents, mail, and correspondence appropriately.
  12. Maintains confidentiality and privacy of all patient information.
  13. Performs opening and closing duties, including organizing, stocking, sanitizing, and reconciling.
  14. Performs other duties as assigned.
Qualifications
  • Team player capable of working independently in a fast-paced environment.
  • Intermediate skills with Microsoft Office Suite.
  • Flexible schedule, including travel to other sites if needed.
  • Excellent customer service and telephone skills.
  • Strong verbal and written communication skills.
  • Professional, friendly demeanor.
  • Detail-oriented and quality-focused.
  • Ability to perform basic calculations, such as handling receipts and giving change.
  • Outstanding time management, organizational, and critical thinking skills.
  • Situational awareness and ability to react to urgent situations.
  • Healthcare experience and knowledge of medical insurance preferred.
  • Perceptive and able to relate well to children and families.
  • Comfortable with shifting demands.
  • Proficient with multiple computer systems.
  • Previous front desk, concierge, customer service, or hospitality experience preferred.
  • High school diploma or GED required.
